Introduction to the Role
The Programs Coordinator for Partnerships & Resource Mobilization plays a strategic and execution-oriented role in ensuring the financial sustainability of KCDF’s programs and initiatives. This position involves cultivating relationships with a diverse set of stakeholders, including potential donors, partners, and philanthropic institutions, while identifying funding opportunities and contributing to the development of compelling proposals. The position holder will work closely with the Head of Partnership and Resource Mobilization to support the implementation of resource mobilization strategies and build strong, mutually beneficial relationships with funding partners.

Detailed Job Description
1. Resource Mobilization Strategy Support
The Programs Coordinator will be responsible for executing resource mobilization strategies that support KCDF’s long-term sustainability goals. Key activities under this area include:
- Contributing to the execution of a results-oriented resource mobilization strategy that outlines deliverables, timelines, and targets aligned with KCDF’s strategic plan.
- Coordinating and strengthening relationships with key external stakeholders, including funding partners, trustees, the Board of Directors, and development agencies.
- Supporting senior leadership in engaging trustees and Board members in resource mobilization initiatives, ensuring consistent follow-up and reporting mechanisms.
- Participating in strategic outreach to individual donors, private sector actors, foundations, and international funders to explore new funding partnerships.
2. Fundraising and Resource Management
A core responsibility of the Programs Coordinator is to actively engage in fundraising campaigns and events that enhance the foundation’s visibility and funding base. Tasks in this domain include:
- Supporting the design and delivery of fundraising campaigns and sponsorship drives in line with KCDF’s mission and brand.
- Conducting in-depth donor research to identify and cultivate funding opportunities from local and international sources.
- Developing high-quality concept notes, grant proposals, and funding applications tailored to a variety of donors including bilateral and multilateral agencies, philanthropic organizations, and corporate entities.
- Coordinating with the Communication team to ensure that all fundraising campaigns are backed by effective communication strategies, brand-aligned storytelling, and digital outreach.
- Liaising with the Programmes Department to generate timely and accurate reports for donors, highlighting program impact, financial updates, and success stories.
- Maintaining and updating the foundation’s donor management system (CRM) to ensure efficient donor tracking, engagement, and retention.
- Participating in the strategic review of the foundation’s programs and contributing insights to improve alignment between donor expectations and organizational priorities.
3. Internal and External Collaboration
The position requires seamless coordination across departments and with external stakeholders to foster a collaborative culture. The jobholder will interact with the following:
Internal Relationships:
- Programs Team – for aligning funding proposals with programming needs.
- Communications Team – to support fundraising campaign communication and branding.
- Finance Team – for budgeting, reporting, and financial accountability.
- Board of Directors and Trustees – for advocacy and high-level donor engagement.
External Relationships:
- Funding Partners – building, managing, and nurturing donor relationships.
- Strategic Stakeholders – including development partners, government agencies, and non-profit collaborators.
- Donors and Prospective Donors – for proposal presentations, relationship cultivation, and feedback.
Key Competencies and Experience
To effectively deliver on this role, the Programs Coordinator should demonstrate a mix of technical and interpersonal skills, as well as relevant experience:
- A Bachelor’s degree in Marketing, Public Relations, Development Studies, Social Sciences, or related field.
- A minimum of six (6) years of progressive experience in resource mobilization, fundraising, or business development within the non-profit or development sector.
- Proven knowledge and practical application of fundraising techniques, local and international donor trends, and resource mobilization planning.
- Experience in writing winning proposals, donor reports, and crafting compelling content for fundraising.
- Demonstrated ability to execute donor events and campaign strategies from concept to implementation.
- Excellent relationship-building skills, with the ability to identify, nurture, and manage partnerships.
- Capacity to analyze donor and project performance indicators to inform strategic decisions.
- Understanding of financial planning and budgeting processes as they relate to project funding.
- Strong verbal and written communication skills, with the ability to deliver presentations, represent the organization, and correspond professionally with donors.
- Familiarity with project management software, CRM systems, and collaboration platforms.
- A strong team player with the ability to work across departments, prioritize workload, and meet deadlines in a fast-paced environment.
Decision-Making and Accountability
Although this role does not carry direct financial or asset responsibility, the Programs Coordinator will be instrumental in:
- Recommending actions and strategic choices to support decision-making in the resource mobilization function.
- Managing information and reporting with a moderate level of confidentiality, ensuring all proposals, reports, and donor data are handled with integrity and professionalism.
- Ensuring the quality and timely submission of donor applications and reports to maintain and grow partnerships.
Working Conditions
This position is based at the KCDF headquarters in Nairobi. It is a primarily office-based role with an estimated 10% of time allocated to travel. The work environment is professional and conducive to collaboration, with minimal exposure to job hazards or disagreeable conditions. The candidate must be able to represent the organization at external meetings and networking events when necessary.
