The successful candidate will be stationed at the Nairobi City Campus, where they will collaborate closely with both academic and administrative staff to uphold the university’s academic and operational standards.

Job Objective

The Departmental Coordinator for ICT Management will play a key role in ensuring seamless academic and administrative coordination within the department. The objective of the role is to support the implementation and monitoring of academic programmes, facilitate student-focused processes, and contribute to the day-to-day execution of departmental activities. This will be done in alignment with the operational protocols and quality benchmarks set by Zetech University.

The position reports directly to the Head of Department – ICT & Engineering, and the successful candidate will serve as a central link between the department’s faculty, administration, and student body.


Key Duties and Responsibilities

The core responsibilities of the Departmental Coordinator – ICT Management include but are not limited to the following:

  1. Monitoring Class Attendance
    • Maintain accurate records of class attendance for both students and staff at the Nairobi City Campus.
    • Initiate follow-ups on absentees and escalate attendance-related issues in compliance with university regulations.
  2. Academic Workload Allocation and Class Setup
    • Create classes in the university’s digital system based on semester schedules.
    • Collaborate with academic leadership to allocate teaching workloads fairly and appropriately.
  3. Examination Management
    • Oversee the administration of mid-term and final examinations at the departmental level.
    • Coordinate with the Exams Office for timely processing and submission of marks.
    • Handle and resolve escalated examination-related issues from Departmental Administrators.
  4. Disciplinary Oversight Related to Attendance
    • Take corrective and disciplinary action in line with university policy concerning poor student or staff attendance.
    • Liaise with the Dean of Students and HR departments as necessary.
  5. Audit Response and Compliance Reporting
    • Follow up on internal audits from Zetech Digital School.
    • Develop departmental action item checklists and ensure timely implementation of recommended changes.
  6. Industrial Attachment and Student Projects
    • Supervise the coordination of industrial attachment programmes for ICT students.
    • Facilitate planning, execution, and assessment of semester-based student projects.
  7. Examination Invigilation Scheduling
    • Assist in the creation and management of the departmental exam invigilation timetable.
    • Ensure equitable distribution of invigilation duties and prevent conflicts with teaching schedules.
  8. Secretarial Support for Academic Meetings
    • Provide secretarial and administrative support during departmental academic meetings.
    • Prepare documentation, meeting agendas, and keep accurate minutes for meetings such as exam moderation and curriculum reviews.
  9. Student Mentorship and Academic Advisory Coordination
    • Oversee the implementation of structured mentorship programmes within the department.
    • Facilitate academic advisory sessions and ensure students have access to the guidance they need.
  10. Academic Trip Coordination
    • Plan, budget for, and coordinate departmental academic trips, ensuring they align with course objectives.
    • Ensure all trips are adequately supervised and reported.
  11. Facility Liaison and Resource Management
    • Collaborate with laboratory technicians and lecturers to ensure the effective functioning of ICT labs, workshops, and associated facilities.
    • Report faults or issues with facilities to the relevant support departments.
  12. Reporting and Communication
    • Prepare regular reports on departmental activities, including student performance, staff workload, attendance trends, and audit progress.
    • Ensure timely and clear communication within the department and with external university units.

Qualification and Experience Requirements

To be considered for the position of Departmental Coordinator – ICT Management, candidates must meet the following qualifications and experience thresholds:

  • Must hold a Master’s degree in any of the following areas or a closely related field:
    • Information Technology
    • Computer Science
    • Software Engineering
    • Education Technology
    • Cybersecurity
    • Business Information Technology
    • Data Science and Analytics
  • Possess a Bachelor’s degree in any of the aforementioned or related fields from an accredited institution.
  • Doctoral Qualification:
    • Should be registered or registrable for a Doctor of Philosophy (PhD) or equivalent doctoral degree and must be progressing in their doctoral studies.
  • Must have a minimum of three (3) years of post-qualification work experience, ideally in an academic environment.
  • Should possess demonstrable people management skills, particularly in academic or educational settings (an added advantage).
  • Must have teaching and research experience at the university level, demonstrating a clear understanding of academic processes.
  • Should be registered or eligible for registration with a relevant professional body.
  • Must be a self-starter with the ability to work independently and a commitment to collaborative teamwork across departments.
