Position Overview

The Procurement Intern will be part of the finance and administration department and will support the efficient execution of procurement activities in compliance with ICRHK and donor guidelines. This role is designed to give the intern practical exposure to end-to-end procurement processes within a fast-paced NGO environment.

The internship provides a structured learning experience that spans the sourcing of goods and services, vendor management, documentation and reporting, and cross-functional liaison with program teams. Under the supervision of the Procurement Officer, the intern will be trained on procurement principles and practices relevant to non-profit operations and donor-funded projects.

Key Responsibilities

The Procurement Intern will undertake a range of duties designed to build capacity in procurement procedures while supporting the broader administrative functions of the organization. Specific tasks include but are not limited to the following:

  1. Procurement Process Support
    • Assist in initiating and managing the procurement process in accordance with ICRHK’s policies and donor regulations.
    • Participate in the preparation of Request for Quotations (RFQs), Request for Proposals (RFPs), and other solicitation documents.
    • Support bid evaluations and participate in the preparation of bid analysis reports under guidance.
    • Assist in preparing purchase orders and tracking approvals as per internal procedures.
  2. Documentation and Record Management
    • Ensure that all procurement documentation is complete, well-organized, and properly filed.
    • Assist in maintaining updated procurement tracking tools and systems.
    • Contribute to the compilation and preparation of monthly procurement reports.
    • Maintain accurate and up-to-date hard copy and digital records of transactions.
  3. Vendor and Supplier Relations
    • Assist in the collection of quotations from pre-qualified suppliers in line with procurement plans.
    • Maintain and regularly update the organization’s supplier and vendor databases.
    • Assist in evaluating supplier performance and updating records accordingly.
    • Follow up on supplier invoices to ensure timely submission to the finance department for processing.
  4. Asset Management
    • Provide support in tracking the movement, issuance, and return of organizational assets.
    • Update the asset register and ensure all assets are properly tagged and recorded.
    • Support periodic physical verification of assets and flag inconsistencies to the line manager.
  5. Compliance and Quality Assurance
    • Ensure all procurement activities adhere to ICRHK procurement manual and donor requirements.
    • Support the audit preparation process by availing procurement records and documents when required.
    • Monitor and report any procurement risks or irregularities to the line supervisor.
  6. Cross-functional Coordination
    • Liaise with program teams to understand procurement needs and timelines.
    • Support planning for procurement in project proposals and implementation plans.
    • Assist with logistics arrangements during field visits, training sessions, and events requiring purchased services or items.

Required Qualifications

  • A Degree or Diploma in Procurement and Supplies Chain Management or a closely related field.
