The Inventory Analyst will be responsible for overseeing inventory operations and ensuring that medical, catering, and general hospital supplies are available when needed, maintained accurately in records, and utilized efficiently. The position requires a balance of technical inventory skills, analytical thinking, and collaborative engagement with different hospital departments to ensure smooth supply chain operations.

Key Responsibilities
- Oversee, monitor, and analyze inventory levels for medical, catering, and general hospital supplies to ensure optimal availability without overstocking.
- Maintain accurate and up-to-date records of stock levels, reorder points, and usage trends, using appropriate inventory management systems such as ERP.
- Supervise and coordinate store personnel to ensure efficiency and professionalism in the receiving, storage, and dispatch of goods, following established hospital procedures.
- Collaborate with clinical departments to forecast demand for various supplies and plan inventory replenishment schedules accordingly.
- Identify and promptly address inventory issues such as stock discrepancies, shortages, excesses, and potential expiries to avoid operational disruptions.
- Assist in the development and implementation of inventory control policies and best practices aimed at minimizing waste, preventing losses, and optimizing storage utilization.
- Generate regular inventory reports for review by Management and Clinical teams, providing data-driven insights to support decision-making.
- Conduct periodic physical inventory counts and reconcile physical records with system data to ensure accuracy and accountability.
- Work closely with the purchasing team, suppliers, and user departments to ensure timely ordering and replenishment of stock in line with hospital needs.
- Participate actively in internal and external audits, ensuring compliance with hospital policies, operational guidelines, and regulatory requirements.
- Support the introduction and integration of modern technologies such as automation, barcoding, and RFID systems to enhance inventory tracking and efficiency.
- Ensure that customer and supplier concerns or complaints related to inventory are recorded promptly, addressed efficiently, and resolved in line with hospital service standards.
- Set clear quality objectives and daily operational targets for the Inventory Section, assigning responsibilities to staff members to ensure smooth workflow.
- Implement preventive measures against theft, pilferage, and misuse of stock, reinforcing a culture of ethical conduct and accountability.
- Monitor spending related to stock acquisition and warehousing, adopting strategies that promote long-term savings without compromising quality and service delivery.
- Undertake any other duties as may be assigned from time to time by the supervisor in line with the role’s objectives.
Qualifications and Experience
- Bachelor’s degree in Supply Chain Management, Procurement, Statistics, or a related field.
- Minimum of five (5) years of progressive work experience, with at least two (2) to three (3) years in inventory or supply chain management, preferably in a healthcare or hospital environment.
- Proficiency in the use of inventory management software and Microsoft Excel.
- Strong analytical and problem-solving capabilities.
- Knowledge of medical and pharmaceutical products will be an added advantage.
- High attention to detail, accuracy, and strong organizational skills.
- Excellent communication skills with a collaborative approach to teamwork.
- Ability to work under pressure and meet strict deadlines.
- Demonstrated ethical and professional conduct.
- Financial acumen, including the ability to interpret financial data and apply it in decision-making, planning, and cost-reduction strategies.
