The successful candidate will be based at the Head Office and will play a critical role in supporting the efficient execution of projects, ensuring timely delivery, operational excellence, and adherence to high-quality standards.

This role requires a motivated professional who can coordinate project documentation, track workforce data, liaise with vendors and site teams, and assist in resolving on-site challenges while maintaining high levels of customer satisfaction and operational efficiency.

Job Purpose Statement

The Projects Assistant will be responsible for supporting project execution processes, maintaining accurate documentation, coordinating site activities, and assisting management with workforce monitoring and reporting. The role is essential to ensuring smooth operations, effective communication across teams, and compliance with safety and regulatory standards.


Key Responsibilities

The Projects Assistant will undertake a wide range of responsibilities across project coordination, asset management, workforce oversight, branding, and on-site supervision. The duties include:

Project Coordination and Reporting

  • Maintain accurate project records, including key performance indicators (KPIs) and workforce data.
  • Compile and submit detailed weekly management reports for review.
  • Prepare proposals, reports, and project documentation to support decision-making and project tracking.

Project Strategy and Execution

  • Assist in developing and implementing project strategies designed to improve efficiency and client satisfaction.
  • Collaborate with site managers and internal departments to ensure alignment with organizational objectives.

Asset and Inventory Tracking

  • Monitor asset usage and deliveries to ensure timely availability of required resources.
  • Maintain accurate inventory records and promptly address discrepancies.
  • Support efficient stock level monitoring to avoid shortages that could delay project delivery.

People Management

  • Oversee caretaker performance and ensure accurate tracking of attendance, wages, and productivity.
  • Maintain the casual workers’ register and provide workforce insights to management.
  • Assist in monitoring staff performance and provide input for productivity improvement measures.

Branding Coordination

  • Maintain updated lists of branding materials across project sites.
  • Ensure branding consistency and compliance with company standards on all sites.
  • Support the execution of branding initiatives as guided by the Projects Supervisor.

On-Site Supervision

  • Assist in supervising day-to-day on-site activities, ensuring work is conducted in compliance with project specifications, quality benchmarks, and safety standards.
  • Help resolve challenges that may arise on-site to maintain smooth project flow.
  • Support the enforcement of safety protocols to protect staff and assets.

Other Duties

  • Undertake additional responsibilities as assigned by management.

Key Accountabilities

  • Timely and accurate preparation of reports and project documentation.
  • Effective monitoring of workforce productivity and casual register accuracy.
  • Compliance with health, safety, and regulatory requirements on all projects.
  • Proactive identification and resolution of site-related challenges.

Qualification and Experience Requirements

  • Diploma or Degree in Project Management, Land Management, Construction Management, Environmental Science, or a related field.
  • Certification in Occupational Health & Safety (OHS) or Environmental Management will be an added advantage.
  • Minimum of one year of relevant experience in project coordination, site management, or related functions.

Competency Requirements

  • Strong project coordination and organizational skills.
  • Proficiency in project management tools and software.
  • Knowledge of land management, asset tracking, and inventory control processes.
  • Awareness of health, safety, and regulatory compliance.
  • Strong skills in data management and reporting.
  • Basic understanding of budgeting and cost control.
  • Excellent communication and interpersonal skills.
  • Problem-solving capabilities with a proactive approach.
