Overall Purpose of the Job
The overall responsibility of the Pharmaceutical Technologist is to manage inventory, dispense and service prescriptions with accuracy, and handle sales revenue effectively. The role supports both clinical services and operational efficiency within the Pharmacy Department.
Duties and Responsibilities
The Pharmaceutical Technologist will be expected to undertake the following duties and responsibilities as part of their role:
Dispensing and Prescription Management
- Review and dispense prescriptions as per the treatment sheet of medications, ensuring accuracy and adherence to professional guidelines.
- Compound, package, and label pharmaceuticals for patients in line with prescribed requirements.
- Ensure that prescriptions are dispensed within the expected turnaround time, minimizing delays in patient care.
- Provide clear instructions to patients regarding dosage, administration, and storage of dispensed medicines.
Inventory and Stock Control
- Maintain pharmacy inventory by checking pharmaceutical stock levels to determine current and future needs.
- Anticipate required medications and supplies, place orders in a timely manner, and expedite deliveries when necessary.
- Verify receipt of ordered supplies against purchase orders and ensure proper documentation.
- Remove outdated or expired drugs from stock in compliance with pharmacy regulations and hospital standards.
- Prepare ageing reports and ensure accurate tagging and return of short-expiry drugs to the central store.
- Monitor the availability of pharmaceutical stocks at all times to prevent shortages that may affect patient treatment.
Medication Organization and Preparation
- Organize medications for dispensing by carefully reading orders and prescriptions.
- Prepare labels, calculate quantities, and assemble intravenous solutions as well as other pharmaceutical therapies.
- Ensure accuracy in dosage calculations and the preparation of mixtures, compounds, or intravenous solutions as per prescribed instructions.
- Uphold hospital and professional standards in all medication preparation processes.
Documentation and Reporting
- Collect and summarize relevant pharmaceutical information for report preparation.
- Submit reports on time, as outlined in the Pharmacy Department’s standard operating procedures.
- Maintain accurate records of dispensing activities, stock levels, and orders placed.
- Ensure all documentation complies with both hospital and regulatory requirements.
Revenue Management
- Capture and generate revenue by accurately calculating, recording, and issuing charges for dispensed drugs.
- Ensure timely issuance of cash sale receipts for direct purchases.
- Support audit processes by maintaining clear and transparent billing documentation.
- Work collaboratively with finance and administration teams to ensure alignment in revenue records.
Quality and Compliance
- Monitor expiry dates of medicines within the pharmacy and ensure strict compliance with set procedures for handling short-expiry or expired drugs.
- Implement and maintain quality assurance measures for medication storage, labelling, and dispensing.
- Follow all regulatory and legal requirements as mandated by the Pharmacy and Poisons Board of Kenya.
- Participate in audits and ensure full compliance with findings and recommendations.
Key Performance Indicators (KPIs)
The Pharmaceutical Technologist will be evaluated based on the following performance indicators:
- Overall pharmacy turnaround time for dispensing prescriptions.
- Turnaround time for processing patient discharges involving medication.
- Patient satisfaction scores related to pharmacy services.
- Number of incident reports originating from the Pharmacy Department.
- Audit scores regarding pharmacy charging and billing accuracy.
- Audit scores on medication quality, including storage, labelling, and handling.
- Availability and adequacy of pharmaceutical stocks.
- The financial value of expired pharmaceutical stocks as a measure of wastage control.
Qualifications, Regulatory, and Legal Requirements
- Diploma in Pharmacy or Pharmaceutical Technology from a recognized institution.
- Must have valid membership and hold a valid practising license registered with the Pharmacy and Poisons Board of Kenya.
- A minimum of three (3) years of working experience in a similar role.
