Christ Is The Answer Ministries (CITAM) is a Pentecostal church with a strong presence in Kenya and beyond. As an English-speaking ministry, CITAM is committed to a holistic approach to the Gospel that not only nurtures spiritual growth but also impacts society across multiple spheres of life. The ministry has steadily grown over the years and currently operates 31 assemblies in Kenya and 4 outside the country.

Beyond its assemblies, CITAM extends its services to the community through 12 CITAM Schools, Pan Africa Christian (PAC) University, a farm, the CITAM Kadolta Resort, catering units, CITAM Outfitters, a children’s center, mission stations, and Hope Media. As part of its mission to strengthen service delivery, CITAM is inviting applications for the following positions: Fleet Officer, Project Accountant, and Accountant. Each role is integral to the continued growth and smooth functioning of the ministry’s programs and institutions.

Fleet Officer

The Fleet Officer will play a key role in ensuring the proper management and maintenance of CITAM’s vehicles and related assets. The position is focused on supporting the efficient movement of staff, goods, and services, while ensuring compliance with policies, safety standards, and legal requirements.

Job Description

  • Oversee the overall management of the organization’s fleet of vehicles, including scheduling, maintenance, and fuel consumption monitoring.
  • Develop and implement a preventive maintenance schedule to minimize vehicle downtime and ensure roadworthiness at all times.
  • Maintain accurate and up-to-date vehicle records, including logbooks, insurance, service history, and driver assignments.
  • Ensure that all vehicles are properly licensed, insured, and comply with regulatory standards.
  • Supervise and support drivers by ensuring adherence to company policies, safety guidelines, and professional conduct.
  • Coordinate the allocation of vehicles for staff, programs, and projects, ensuring efficient utilization.
  • Monitor fuel usage, prepare consumption reports, and identify opportunities for cost control and efficiency.
  • Respond promptly to vehicle breakdowns and ensure timely repair solutions are in place.
  • Develop and enforce policies regarding vehicle use, driver behavior, and accident reporting.
  • Liaise with insurance providers for claims processing in the event of accidents or damages.
  • Conduct routine inspections of vehicles to ensure cleanliness, mechanical soundness, and adherence to safety standards.
  • Manage budgets related to fleet operations, ensuring expenditures remain within approved limits.
  • Prepare regular reports on fleet performance, costs, and utilization for management decision-making.

Project Accountant

The Project Accountant will provide financial oversight, reporting, and accountability for CITAM’s various projects. This role is essential in ensuring that all funds are used appropriately, projects are implemented within budget, and stakeholders are provided with accurate financial information.

Job Description

  • Prepare and maintain project budgets, ensuring that resources are allocated and tracked against approved plans.
  • Monitor project expenditures to ensure compliance with budgets and identify areas where adjustments may be necessary.
  • Maintain accurate accounting records and ensure that all project-related financial transactions are properly documented.
  • Prepare financial reports for management, donors, and other stakeholders in line with agreed schedules and requirements.
  • Ensure compliance with organizational policies, donor agreements, and statutory requirements in relation to project finances.
  • Reconcile project accounts regularly and resolve any discrepancies in a timely manner.
  • Coordinate with project managers and other staff to provide financial insights that support effective planning and implementation.
  • Oversee cash flow management for assigned projects, ensuring sufficient funds are available for planned activities.
  • Support project audits by providing accurate and comprehensive financial information to auditors.
  • Provide training and guidance to project staff on financial procedures, budgeting, and accountability.
  • Assist in developing financial systems and controls to enhance efficiency and minimize risks.
  • Prepare forecasts and financial analyses to support decision-making for ongoing and upcoming projects.
  • Liaise with banks, partners, and donors regarding project-related financial transactions and reporting obligations.

Accountant

The Accountant will be responsible for general financial management, ensuring accuracy, compliance, and transparency in all accounting processes across CITAM’s institutions and programs. This role underpins the financial health of the ministry and its operations.

Job Description

  • Record, classify, and summarize financial transactions in line with organizational policies and accounting standards.
  • Prepare accurate financial statements, including balance sheets, income statements, and cash flow reports.
  • Reconcile bank accounts, supplier accounts, and other balance sheet items on a regular basis.
  • Ensure timely processing of payments to suppliers, staff, and service providers in line with approved procedures.
  • Manage accounts receivable and follow up on outstanding payments to ensure healthy cash flow.
  • Monitor budgets, highlight variances, and support management in implementing corrective measures.
  • Maintain an up-to-date fixed asset register and ensure proper accounting for depreciation.
  • Ensure compliance with statutory requirements, including tax filings, social security contributions, and other obligations.
  • Prepare financial reports for management, the board, and other relevant stakeholders.
  • Assist in the preparation of annual budgets and forecasts by providing relevant financial data.
  • Support both internal and external audits by ensuring the availability of required financial records and documents.
  • Strengthen internal controls through the implementation of financial policies and procedures.
  • Provide financial advice to different departments within the organization to improve cost-effectiveness and efficiency.
  • Safeguard the integrity of financial data by implementing proper checks, authorizations, and approval systems.
