Position: Registration & Admission Supervisor

Reports to: Chief Accountant
Work Type: Full-time, Shift-based (24/7 operations)

The Registration & Admission Supervisor is responsible for providing leadership and operational oversight to the registration and admission team. The position requires balancing patient-centered service with effective revenue protection, efficient bed management, and compliance with hospital policies. By ensuring accuracy in patient data capture and timely pre-authorization of payments and insurance, the role directly supports the hospital’s financial sustainability while enhancing patient satisfaction.


Key Responsibilities

The role is structured around five main pillars: Patient Admission & Customer Service, Revenue & Documentation Assurance, Bed & Capacity Management, Team Leadership & Development, and Compliance & Reporting.

1. Patient Admission & Customer Service

  • Act as the bridge between staff and patients, ensuring that all patients receive timely, professional, and courteous customer service during the admission process.
  • Interact with patients, families, doctors, and administrative staff to facilitate seamless admission experiences.
  • Ensure admission documents are completed accurately and fully meet hospital requirements.
  • Supervise and guarantee that pre-authorization of client bills is completed within 24 hours of admission.
  • Oversee floor operations, including providing timely updates to patients and next of kin on admission progress.
  • Resolve admission-related disputes such as bed allocation issues, deposit shortfalls, or priority cases promptly and professionally.

2. Revenue & Documentation Assurance

  • Safeguard hospital revenue through strict verification of insurance or scheme eligibility, accurate deposit calculations, and ensuring all pre-authorizations are secured.
  • Guarantee daily submission of discharged patient files to billing with all supporting documentation.
  • Maintain updated reconciliation of pending and unbilled reports in close collaboration with the billing department.
  • Liaise with doctors’ offices to confirm that their bills are properly captured and processed.
  • Audit daily admissions files for fiscal accuracy, completeness, and compliance with the Data Protection Act (2019).
  • Ensure deposits, co-payments, and waivers are receipted and banked without delay.

3. Bed & Capacity Management

  • Monitor real-time bed occupancy, coordinating with wards, physicians, and the discharge lounge to maximize utilization and minimize waiting times.
  • Produce statistical reports on admission trends, revenue per payer, and bed turnaround rates to inform management decision-making.

4. Team Leadership & Development

  • Supervise staff, manage shifts, and oversee handover processes to guarantee continuity of services across all working hours.
  • Provide coaching, mentorship, and appraisals for registration and admission staff, ensuring accuracy in capturing patient demographics and billing details.
  • Facilitate staff training while fostering a positive work culture that encourages continuous learning and improvement.
  • Champion quality improvement initiatives, particularly through LEAN practices, to minimize admission turnaround time (TAT).

5. Compliance & Reporting

  • Enforce adherence to hospital policies, insurance requirements, and statutory regulations.
  • Prepare and present accurate and timely reports to management, including billing, admissions, and bed utilization reports.
  • Carry out additional responsibilities or tasks as assigned from time to time.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Commerce, Health Records, Public Relations, or a related field.
  • At least 4 years of relevant work experience, with 2 years spent in a supervisory role within a busy hospital, hotel, or financial services front office.
  • Excellent communication skills, with a strong focus on customer service.
  • Demonstrated ability to deliver timely and accurate service, especially under pressure.
  • Self-motivated, detail-oriented, and committed to producing quality work efficiently.
