This role is a key part of our Aftersales & Operational Control team and will be based at our Eldoret Branch, with additional support responsibilities for our Kisumu, Nakuru, Nyeri, Nanyuki, and Lodwar branches.
The successful candidate will report directly to the Assistant Finance Manager – Aftersales & Operational Control and will play a crucial role in ensuring compliance with Standard Operating Procedures (SOP), Delegation of Authority (DOA), and internal control frameworks. Job Purpose
The Operational Controller – West & Rift Region will be directly responsible for:
- Ensuring SOP and DOA compliance, safeguarding company assets, and optimizing utilization of network assets.
- Conducting inventories, validating reports, and enforcing strong internal controls.
- Reviewing and analyzing assigned network expenses while guiding cost management initiatives.
- Supporting branch managers and the network manager with financial performance insights.
- Monitoring order banks and reviewing lease expenses to ensure profitability and compliance.
- Advising and supporting business operations in accordance with company policies, local laws, and group guidelines.
This role is a blend of operational oversight, financial control, and strategic advisory that requires strong collaboration with branch managers and the wider finance team.
Key Responsibilities
1. Operational Responsibilities
Asset Control (Stock & Fixed Assets)
- Conduct monthly inventories of spare parts and vehicles, validating results with branch managers.
- Run annual fixed asset inventories, reconcile with asset registers, and prepare utilization and idle asset reports.
- Ensure proper tagging, approval, and documentation of asset movements or disposals.
- Prepare business plans and Capex approval requests, monitor implementation, and report against approved plans.
Workshop Oversight
- Review WIP inventory, consumables stock adjustments, sublet invoices, and Aftersales credit notes.
- Perform monthly reviews of service and Bodyshop costing, margin rates, and WIP yard reports.
- Validate and approve internal accounts/job cards per DOA guidelines.
- Oversee closure, cancellations, and returns of job cards after thorough verification.
2. Group Government Leasing Expenses
- Analyze monthly lease expenses, identify variances, and provide profitability dashboards.
- Ensure timely postings and correct billing for all lease expenses.
- Review lease contracts to confirm profitability and cost efficiency.
- Investigate adverse variances and support corrective actions.
3. Other Operational Duties
- Validate branch cash payments, refunds, cash sales, and sales commission reports.
- Support branch budget preparation and ensure compliance with group timelines.
- Train branch teams on updated SOPs and maintain audit/risk trackers.
- Review cost distributions for alignment with budget guidelines.
4. Expense Management
- Provide guidance on expense-saving opportunities.
- Validate postings before ledger closure, ensuring timely and accurate recording.
- Review branch P&L statements and marketing ROI.
- Engage branch managers in expense management discussions.
5. Internal Control & Fraud Prevention
- Ensure implementation of audit recommendations and PACI (internal control tool).
- Monitor fraud risks, segregation of duties, and compliance effectiveness.
- Promote a compliance-first culture within branches.
- Advise on corrective actions to strengthen controls.
6. Financial Reporting
- Collaborate with branch managers on budgets and forecasts.
- Conduct monthly P&L and working capital analysis.
- Provide insights to support informed decision-making.
7. Leadership & Collaboration
- Promote collaboration between finance and operational teams.
- Encourage knowledge sharing across branches.
- Support branch leadership in aligning processes with organizational goals.
- Apply financial acumen to guide strategic decisions.
- Anticipate business risks and align financial strategies with long-term growth.
Knowledge, Skills & Experience
To excel in this role, the candidate should possess:
- A Degree in Finance or Business-related field.
- CPA (K) or ACCA certification.
- A minimum of 6 years’ experience in financial control, audit, or operational finance within a reputable organization, ideally in a multi-branch or network model.
- Advanced proficiency in MS Excel for financial analysis and reporting.
- Strong analytical, problem-solving, and interpersonal skills.
