This position, based in Nairobi, is designed for an experienced professional who will lead, innovate, and enhance the organization’s procurement and logistics operations.

The Procurement & Logistics Manager will play a pivotal role in ensuring efficient, transparent, and cost-effective acquisition of goods and services, robust vendor and contract management, and effective logistical and administrative support. Role Summary

The Procurement & Logistics Manager will oversee and direct procurement and logistical functions within AKES, Kenya. The incumbent will lead in designing and executing procurement strategies that align with the organization’s objectives while ensuring adherence to national laws and donor requirements. Additionally, this role covers logistics, inventory control, administrative oversight, and people leadership.

The position requires an individual who can balance strategic responsibilities—such as developing institution-wide frameworks—with operational duties like negotiating contracts, managing suppliers, and supervising logistics activities. A successful candidate will not only provide direction but also ensure compliance, efficiency, and reliability across all functions.


Key Responsibilities

1. Strategic Leadership and Governance

  • Develop and implement procurement and logistics strategies that align with the organization’s vision, mission, and operational needs.
  • Establish procurement policies and procedures that prioritize transparency, fairness, and compliance with both internal guidelines and external legal frameworks.
  • Act as the custodian of best practices in procurement and supply chain management across all departments and schools within the network.
  • Ensure that procurement activities reflect efficiency, sustainability, and cost-effectiveness while maintaining high ethical standards.

2. Procurement and Supply Chain Management

  • Lead and oversee the sourcing of goods and services through structured tendering processes, competitive bidding, and transparent evaluations.
  • Negotiate and manage contracts to secure value for money, timely deliveries, and long-term supplier relationships.
  • Supervise supplier performance monitoring, including regular evaluation and feedback mechanisms to ensure consistency and reliability.
  • Enforce compliance with Kenyan procurement laws, donor conditions, and international procurement standards where applicable.
  • Continuously monitor procurement key performance indicators (KPIs), cost-saving measures, and efficiency reports, providing regular updates to management.
  • Implement systems for continuous improvement in procurement processes and practices.

3. Logistics and Inventory Management

  • Develop logistics frameworks to facilitate timely distribution of goods and services across all schools, offices, and operational sites.
  • Manage fleet operations, including vehicle scheduling, usage monitoring, and maintenance.
  • Oversee inventory management systems, warehousing, and stock control processes to minimize losses and inefficiencies.
  • Ensure proper reconciliation of inventory records and introduce mechanisms to strengthen accountability.
  • Establish continuity and contingency plans to manage logistics in times of crisis or disruption.
  • Monitor logistical processes to ensure cost-effectiveness, sustainability, and responsiveness to institutional needs.

4. Administration and Facilities Support

  • Provide leadership in managing administrative operations at the Nairobi Support Office, including office management, central services, and facilities coordination.
  • Ensure compliance with health, safety, and environmental standards within administrative and logistical operations.
  • Offer logistical and administrative support for institutional events, workshops, conferences, and centralized activities.
  • Manage external service providers responsible for utilities, outsourced maintenance, and other administrative services.
  • Oversee the smooth running of facilities to support both academic and non-academic functions of the schools and the central office.

5. Financial and Risk Management

  • Prepare, monitor, and manage budgets for procurement and logistics activities, ensuring financial prudence and accountability.
  • Implement measures for cost control and value optimization across all procurement and logistics operations.
  • Identify and analyze risks associated with procurement and logistics, and develop strategies to mitigate them effectively.
  • Ensure that all procurement and logistics operations comply with audit standards and recommendations, strengthening internal controls.
  • Regularly provide financial and operational reports to senior management, highlighting achievements, risks, and areas for improvement.

6. People Leadership and Capacity Building

  • Lead, mentor, and manage teams within the procurement, logistics, and administrative departments.
  • Foster an environment of collaboration, professional growth, and accountability.
  • Conduct training and capacity-building programs for procurement staff, logistics officers, and storekeepers across the schools.
  • Drive change management initiatives to improve processes and adopt digital tools such as Enterprise Resource Planning (ERP) systems, Trello, and e-procurement platforms.
  • Promote a culture of teamwork, continuous learning, and professional excellence within the departments.
