1. Senior Office Administrator – One-Year Fixed Term Contract
Overview
The Senior Office Administrator will provide comprehensive administrative and operational support within the assigned office or department. This role demands a high level of professionalism, confidentiality, organizational skill, and the ability to handle multiple tasks efficiently. The incumbent will be expected to liaise with internal and external stakeholders, manage office operations, and ensure smooth coordination of activities to support the university’s strategic objectives.
The Senior Office Administrator will report directly to the respective departmental head or senior management official and work collaboratively across university departments to enhance service delivery.
Key Responsibilities
a) Administrative and Operational Support
- Serve as the primary point of contact for internal and external correspondence, ensuring timely responses and professional communication.
- Manage the day-to-day operations of the office, including scheduling appointments, maintaining office supplies, coordinating logistics for meetings, and organizing official documents.
- Prepare, edit, and proofread official correspondence, reports, memos, and other communications on behalf of the department.
- Ensure that all administrative systems, files, and databases are maintained in a secure and efficient manner, in compliance with university policies.
b) Coordination and Communication

The Driver assigned to the Office of the Vice Chancellor will be responsible for providing reliable and efficient transport services to support the mobility and logistical needs of the Vice Chancellor and the Office. The position requires a professional, courteous, and safety-conscious individual who upholds the highest standards of conduct and confidentiality.
The successful candidate will ensure that the assigned vehicle is maintained in optimal working condition, provide timely transportation, and offer logistical support during official engagements, meetings, and events involving the Office of the Vice Chancellor.
Key Responsibilities
a) Transportation Services
- Provide safe, efficient, and punctual driving services to the Vice Chancellor and other authorized personnel.
- Ensure proper planning of routes, considering traffic, time schedules, and security to facilitate timely arrivals and departures.
- Transport the Vice Chancellor to official meetings, functions, and other engagements both within and outside the university premises.
- Assist in running office errands, including delivering documents, parcels, and other materials as assigned.
b) Vehicle Maintenance and Care
- Conduct daily inspection of the vehicle to ensure it is in good working condition before use.
- Ensure regular servicing, maintenance, and cleaning of the assigned vehicle to maintain operational reliability and professional presentation.
- Maintain an up-to-date record of vehicle mileage, fuel consumption, and service schedules.
- Promptly report any mechanical issues, damages, or required repairs to the appropriate department.
- Ensure that the vehicle’s insurance, registration, and other legal requirements are always valid and current.
c) Safety and Compliance
- Adhere strictly to all traffic rules, road safety regulations, and institutional transport policies.
- Maintain a defensive driving approach to ensure the safety of passengers, other road users, and the vehicle.
- Monitor road conditions and security alerts, adapting travel plans when necessary to ensure safety.
- Ensure that all passengers observe safety protocols, including the use of seat belts at all times.
d) Logistical and Administrative Support
- Coordinate travel arrangements for the Vice Chancellor’s official trips, including route planning, fueling, and travel documentation.
