The Embassy’s visa section is responsible for processing visa and residence permit applications from multiple countries south of the Sahara, ensuring integrity, efficiency, and professionalism in service delivery. The Embassy of Norway in Khartoum (Sudan) is currently operating from the Nairobi office, increasing the operational scope and demand for administrative and migration-related support.
To strengthen its administrative and migration service functions, the Embassy now invites applications for the position of Visa Officer, with the role becoming available in February 2026. ABOUT THE POSITION
The Visa Officer will join the Embassy’s administrative team, contributing to the efficient processing of Schengen visa applications, residence permits, and other migration-related requests. The position requires accuracy, confidentiality, strong interpersonal skills, and the ability to work independently in a fast-paced environment. The Visa Officer will interact regularly with applicants, partner institutions, and Embassy representatives, ensuring that all processes comply with Schengen and institutional regulations.

MAIN DUTIES OF THE VISA OFFICER
The Visa Officer will be expected to undertake a range of duties that support the Embassy’s migration and administrative services. The responsibilities include:
• Receiving and registering applications for Schengen visas, residence cases, and other related permits
• Carrying out control of persons and documents, including ID verification
• Printing visa stickers and distributing decisions to applicants
• Organizing, updating, and maintaining accurate filing systems
• Communicating with applicants, responding to inquiries, and providing clear information to the public
• Conducting interviews with applicants to verify information and supporting documents
• Verifying authenticity of documents and undertaking field or reference checks when required
• Performing DNA tests for applicants according to approved procedures
• Supporting the administrative team with additional tasks as instructed by the line manager
REQUIRED QUALIFICATIONS
Applicants are expected to meet the following core qualifications:
• Fluency in English, both written and spoken
• Strong proficiency in computer applications, particularly Microsoft Office programs
• Relevant higher education, such as a university degree (note: long and relevant experience may compensate for formal higher education)
• A valid work permit allowing employment within Kenya
ADDITIONAL QUALIFICATIONS THAT ARE AN ADVANTAGE
While not mandatory, the following qualifications will be considered advantageous:
• Proficiency in French
• Strong understanding of legal frameworks and political-socio-cultural contexts in one or more West-African countries
• Knowledge of Schengen regulations and migration procedures
• Relevant prior work experience in a diplomatic, migration, or administrative environment
