The Procurement Department is mandated to provide professional guidance on all procurement and asset disposal matters in accordance with the Law Society of Kenya’s Procurement Policy and Procedure Manual, applicable laws, and established industry standard operating procedures. The department plays a central role in ensuring that goods, works, and services are acquired in a timely, cost-effective, and compliant manner to support the Society’s operations.

The Program Assistant will work under the supervision of the Procurement function and will provide administrative, coordination, and documentation support across procurement activities.

The role involves both administrative and coordination duties that contribute to effective procurement planning and implementation.

Specific duties include supporting the preparation, organization, and maintenance of procurement documentation, including requisitions, purchase orders, contracts, delivery notes, and asset records. The role requires maintaining accurate and up-to-date procurement files, both in physical and electronic formats, to ensure audit readiness and traceability.

The Program Assistant will assist in coordinating procurement processes, including receiving and logging requisitions from user departments, tracking approval workflows, and following up on procurement timelines to ensure timely delivery of goods and services. This includes liaising with internal departments to clarify specifications, delivery schedules, and service requirements.

The role involves supporting supplier engagement processes, including communication with vendors regarding quotations, delivery schedules, invoicing, and documentation requirements. The Program Assistant may assist in organizing supplier meetings, evaluations, and site visits where necessary, while ensuring that communication is documented and aligned with procurement guidelines.

Support for drafting forms part of the role, including assisting with the preparation of draft rulings, opinions, or internal notes based on tribunal deliberations and research findings. While final drafting authority remains with the tribunal, Legal Research Assistants contribute through structured research inputs and legal analysis.

The role also involves monitoring developments in legal practice, professional ethics, and disciplinary jurisprudence, and highlighting emerging trends or relevant decisions that may impact tribunal work.

Administrative and coordination support may be required, including assisting with scheduling, documentation, and communication related to tribunal proceedings.
