Position Overview

The Programme Management Assistant (G-6) provides administrative, coordination, and operational support to programme and project activities. The role supports planning, implementation, monitoring, and reporting of programmes in line with UN rules, regulations, and procedures.

This position is ideal for candidates with strong coordination, reporting, and data management skills, especially those experienced in UN or donor-funded programmes.


Key Duties and Responsibilities

Programme & Project Support

  • Assist in planning and implementation of programme activities and projects
  • Monitor project timelines, milestones, and deliverables
  • Track programme expenditures and budget utilization
  • Support preparation of programme work plans and schedules

Monitoring, Reporting & Data Management

  • Compile and analyze programme data for reports and dashboards
  • Assist in preparing progress reports, briefing notes, and presentations
  • Maintain programme databases and filing systems (electronic and physical)
  • Ensure accuracy and timely submission of programme information

Administrative & Coordination Support

  • Organize meetings, workshops, and missions (logistics, documentation, follow-ups)
  • Draft routine correspondence and official communications
  • Liaise with internal UN units, implementing partners, and stakeholders
  • Support procurement, contracts, and consultant documentation

Compliance & Quality Assurance

  • Ensure activities comply with UN rules, financial regulations, and procedures
  • Support audits, evaluations, and reviews
  • Flag implementation risks or delays to supervisors

Required Qualifications

Education

  • High school diploma required
  • Bachelor’s degree in Programme Management, Business Administration, Economics, Development Studies, or related field is an advantage

Experience

  • Minimum 6 years of relevant experience in programme/project support, administration, or operations
  • Experience within the UN system, international organizations, or NGOs is highly desirable

Skills

  • Strong organizational and coordination skills
  • Excellent reporting and document management abilities
  • Proficiency in MS Office (Excel, Word, PowerPoint); UN systems (Umoja) is an advantage
  • Ability to work with data, budgets, and timelines
  • Strong attention to detail and ability to meet deadlines
