Médecins Sans Frontières (MSF), also known as Doctors Without Borders, has announced new job opportunities in Nairobi for qualified Kenyan professionals. The organization is recruiting for the positions of Base and Facilities Officer and Purchasing Officer under the Supply Kenya Intersection Department (SKID), an intersection entity that supports the operational activities of MSF’s Operational Centre Geneva (OCG) and Operational Centre Paris (OCP) within Kenya.

These positions offer an opportunity to contribute to the efficient delivery of humanitarian operations by supporting logistics, procurement, fleet management, facility maintenance, and supply chain activities. Both roles are offered on a 12-month contract beginning with a three-month probation period and are renewable based on performance.

1. Base and Facilities Officer

Work Location: Nairobi

Expected Start Date: 10 August 2026

The Base and Facilities Officer will report to the Supply Coordinator within the Supply Kenya Intersection Department (SKID). The position is responsible for ensuring that MSF facilities, vehicles, equipment, utilities, and infrastructure remain operational, safe, and compliant with organizational standards.

The successful candidate will oversee maintenance operations, supervise fleet and facility activities, coordinate repairs, manage equipment inventories, and support various operational departments to ensure uninterrupted humanitarian operations.

Key Duties and Responsibilities

  • Plan vehicle movements and monitor individual trips while ensuring compliance with MSF security procedures.
  • Monitor fuel, lubricant, and supply consumption across offices, warehouses, guest houses, and other facilities.
  • Supervise the maintenance of open spaces, courtyards, and ensure proper waste disposal practices.
  • Inspect and oversee maintenance of buildings, electrical systems, water supply systems, ceilings, walls, and other facility infrastructure.
  • Conduct regular facility inspections to identify rehabilitation and maintenance needs.
  • Coordinate maintenance activities for logistics equipment, cold chain systems, energy installations, IT equipment, and radio communication systems.
  • Support the SKID Pharmacist with licensing activities required for pharmaceutical distribution and transportation.
  • Support the Human Resources department in implementing Occupational Safety and Health (OSH) recommendations.
  • Prepare procurement requests for maintenance-related supplies and follow up on delivery and quality.
  • Carry out local purchases while reporting quality or supply challenges to management.
  • Handle administrative documentation including contracts, framework agreements, procurement files, and related records.
  • Participate in training sessions assigned by management.

SKID-Specific Responsibilities

  • Procure stationery, staff equipment, warehouse supplies, and guest house furniture.
  • Manage all SKID facilities, including offices, warehouses, and guest houses.
  • Ensure utilities supporting SKID premises remain fully operational.

Fleet Management Responsibilities

  • Supervise SKID drivers.
  • Schedule and coordinate vehicle usage.
  • Monitor fleet fuel consumption and generator fuel supplies.
  • Update fuel consumption and maintenance information in the TMF system.
  • Process vehicle maintenance requests through Motoka.
  • Support vehicle licensing, insurance, and documentation processes.
  • Manage the fleet in accordance with Mission CSP guidelines.

Repairs and Maintenance

  • Ensure warehouses and guest houses remain in good condition.
  • Monitor plumbing, roofing, lighting, furniture, and structural repairs.
  • Maintain generators, power systems, cold chain equipment, and maintenance tools.
  • Supervise external technicians and contracted maintenance personnel.

Power Supply and Cold Chain

  • Supervise installation and minor repairs of generators, batteries, cabling, chargers, inverters, and protection systems.
  • Coordinate maintenance of cold rooms and electrical installations through contracted service providers.

Security Management

  • Supervise contracted security guards.
  • Ensure communication checks with vehicles follow established security procedures.
  • Report and communicate security-related concerns affecting SKID operations.

Equipment Management

  • Maintain inventories and coordinate equipment allocation.
  • Support disposal of obsolete equipment together with logistics coordination.
  • Verify quality of electrical and generator maintenance work.
  • Maintain asset inventories using Track-My-Stuff.
  • Track emergency preparedness (EPREP) equipment.
  • Conduct quarterly asset verification across offices, warehouses, and guest houses.

Requirements

Education

  • Secondary Education.
  • Diploma in Logistics or a related field.

Experience

  • At least two years of experience in logistics, including maintenance, rehabilitation, electricity, IT, or fleet management.
  • Experience working with NGOs is desirable.

Languages

  • English.
  • Kiswahili.

Knowledge

  • Computer literacy.
  • Radio equipment user knowledge.

2. Purchasing Officer

Work Location: Nairobi

Expected Start Date: 1 September 2026

The Purchasing Officer will report to the Procurement Manager within the Supply Kenya Intersection Department (SKID). The role focuses on supporting day-to-day procurement activities while ensuring compliance with MSF purchasing policies, procurement procedures, and supply chain standards.

The successful candidate will help maintain efficient procurement processes by sourcing suppliers, preparing procurement documentation, processing purchase orders, maintaining procurement records, and supporting the overall supply chain operation.

Key Duties and Responsibilities

  • Conduct daily purchasing activities in accordance with MSF procurement policies and procedures.
  • Assess local markets to identify reliable suppliers offering competitive prices and quality products.
  • Negotiate prices to achieve value for money.
  • Continuously update supplier, product, and pricing information.
  • Inform supervisors of changes affecting supplier information, product availability, or pricing.
  • Obtain supplier quotations in accordance with MSF purchasing policies.
  • Issue purchase orders to approved suppliers.
  • Request invoices and receipts for all purchases.
  • Verify procurement documentation and translate information written in local languages where necessary.
  • Complete procurement administrative procedures, including purchase orders, delivery note verification, and advance management.
  • Update purchase tracking records after procurement activities.
  • Support goods reception and inspection alongside storekeepers.
  • Prepare procurement documents according to MSF SKID validation procedures.
  • Encode and process Purchase Orders (POs) within the UniField ERP system.
  • Archive procurement documentation in accordance with MSF Switzerland policies.
  • Collaborate closely with Order Processing Officers when preparing Internal Requests (IR) and Field Orders (FO).
  • Source suppliers for frequently replenished goods.
  • Perform additional procurement duties assigned by management.

Requirements

Education

  • Degree or Diploma in Procurement or Supply Chain Management.

Experience

  • At least two years of experience in procurement or supply chain management.
  • Experience with MSF or other NGOs in developing countries is desirable.
  • Experience using the UniField ERP system is desirable.

Languages

  • English.
  • Kiswahili.

Knowledge

  • Computer literacy, including Excel and Outlook.
  • UniField ERP knowledge.
