Pursuant to the Constitution of Kenya (2010) and the County Government Act No. 17 of 2012, the County Government of Kakamega invites applications from suitably qualified individuals to fill the following vacant positions in the Department of Health Services. This recruitment is aimed at strengthening service delivery in the county and ensuring that public services are efficiently managed and administered by competent personnel.

DEPARTMENT OF HEALTH SERVICES

1. POSITION: DATA CLERKS, JOB GROUP ‘CPSB 12’/G (32 POSTS)

BASIC SALARY SCALE:
Kshs. 23,700 x 1,040 – 24,740 x 1,070 – 25,810 x 1,070 – 26,900 x 1,110 – 28,010 x 1,120 – 29,130 x 1,150 – 30,280 x 1,170 – 31,450 per month.

TERMS OF SERVICE:
Three (3) Years’ Contract

DUTIES AND RESPONSIBILITIES:

The primary role of the Data Clerks will be to facilitate efficient data entry and management within the health services department. Key responsibilities will include:

  1. Data Input:
    • Entering data from paper forms, scanned documents, and electronic files into designated computer systems.
    • Processing customer information, financial transactions, orders, health records, and other relevant data.
  2. Data Verification:
    • Reviewing and cross-checking entered data against source documents.
    • Identifying errors, inconsistencies, or discrepancies in information and making necessary corrections.
    • Ensuring high levels of data accuracy and completeness.
  3. Data Formatting:
    • Structuring data appropriately to align with system requirements.
    • Utilizing the correct fields, codes, and data types for proper classification.
  4. Data Cleaning and Quality Control:
    • Identifying duplicate, incomplete, or incorrect records and resolving inconsistencies.
    • Conducting regular audits and updates to maintain the integrity of the database.
  5. Database Management:
    • Updating and maintaining computerized records.
    • Organizing digital files related to data entry tasks.
    • Ensuring the security and confidentiality of sensitive data.
  6. File and Records Management:
    • Systematically storing and retrieving digital files.
    • Managing backups and ensuring quick access to relevant information when required.
  7. Report Generation and Documentation:
    • Assisting in compiling data reports and summaries as required.
    • Generating insights and trends based on collected data to aid in decision-making.
  8. Customer Support and Communication:
    • Liaising with relevant departments or clients to obtain additional information when required.
    • Responding to inquiries related to data discrepancies and making necessary adjustments.

REQUIRED SKILLS AND COMPETENCIES:

To perform effectively in this role, candidates should possess the following skills and competencies:

  1. Typing Speed and Accuracy:
    • Proficient in keyboarding and data entry with minimal errors.
    • Ability to handle large volumes of data within set deadlines.
  2. Attention to Detail:
    • Strong ability to identify and correct mistakes in data entry.
    • Ensuring consistency and completeness in all records maintained.
  3. Proficiency in Data Entry Software:
    • Familiarity with spreadsheets, database management software, and data entry applications.
    • Experience with Microsoft Office Suite, particularly Excel, Access, and Word.
  4. Ability to Work Independently:
    • Demonstrated ability to manage tasks with minimal supervision.
    • High level of responsibility and accountability in handling data.
  5. Computer Literacy:
    • Proficiency in using computers and relevant applications.
    • Familiarity with basic troubleshooting techniques for common software issues.
  6. Customer Service Skills:
    • Excellent communication and interpersonal skills to interact with clients when required.
    • Ability to clarify data requests and retrieve necessary information in a professional manner.

REQUIREMENTS FOR APPOINTMENT:

  1. Educational Qualifications:
    • Must possess a Kenya Certificate of Secondary Education (KCSE) Grade C Minus (-) or its equivalent as approved by the Kenya National Examinations Council (KNEC).
    • A post-secondary training certificate in Computer Applications, IT, or any relevant field will be an added advantage.
  2. Professional Competencies:
    • Demonstrable proficiency in computer applications.
    • Previous experience in data entry or administrative support roles will be an added advantage.
  3. Personal Attributes:
    • High integrity and ability to maintain confidentiality.
    • Strong organizational and multitasking skills.
    • Commitment to teamwork and excellent problem-solving abilities.
