The International Livestock Research Institute (ILRI) is a leading global research institution dedicated to improving food security, nutrition, and poverty reduction in developing countries through livestock research. We are seeking a highly skilled and experienced Biorepository Associate III to oversee sample storage management, data upload, and laboratory processes within our Biosciences laboratory facilities. The ideal candidate will have expertise in Laboratory Information Management Systems (LIMS), quality control, and sample reconciliation to ensure integrity and traceability of all biological samples.
Key Responsibilities:
Sample Management:
- Receive, catalogue, and accurately record incoming samples in the digital sample management system.
- Collaborate with internal and external laboratory staff, scientists, and Principal Investigators (PIs) to ensure proper sample documentation and reconciliation.
- Manage cold chain storage following Good Laboratory Practices (GLP) to ensure sample viability.
- Work closely with the ILRI engineering team and laboratory management to ensure optimal operation of the Liquid Nitrogen Plant, sample storage tanks, and digital monitoring systems.
- Oversee liquid nitrogen supply and cryosample management to maintain sample integrity.
- Ensure sample availability for testing laboratories and coordinate shipments, including acquiring necessary permits.
- Guide users on logging into the sample management system for study-specific protocols.
- Conduct sample viability testing and maintain traceability of all archived samples.
- Serve as the central point of contact for sample reception, retrieval, and shipments while ensuring adherence to QMS policies and Material Transfer Agreements (MTAs).
- Maintain biosecurity and work with the security unit to monitor access to the biorepository.
- Conduct sample audits and maintain updated inventory records in LIMS and backup systems.
- Prepare platform reports and present analysis in relevant meetings.
- Compile service recharges for biorepository services.
Laboratory Information Management Systems (LIMS) Administration:
- Update LIMS Standard Operating Procedures (SOPs) and validation processes in collaboration with the LIMS provider.
- Configure and optimize LIMS to enhance sample management workflows.
- Troubleshoot LIMS issues to minimize disruptions in sample tracking.
- Ensure the LIMS system remains up to date and aligns with user needs.
Quality Control & Compliance:
- Develop SOPs, forms, and tracking documentation for sample management.
- Perform regular inspections and documentation of stored sample materials.
- Maintain the highest level of data integrity within LIMS.
- Ensure proper barcoding and tracking of all samples.
- Conduct regular audits and compliance checks in line with biobanking regulations and institutional policies.
Data Management & Reporting:
- Ensure accurate and timely data entry into LIMS.
- Verify and validate sample metadata for completeness and accuracy.
- Reconcile archived sample data with freezer and liquid nitrogen storage records.
- Generate reports, analyze data, and share insights with stakeholders to improve biorepository operations.
Qualifications & Experience:

Experience | Minimum 5 years’ experience in a research laboratory with a focus on sample management and LIMS. |
Certifications | Certification in IATA for handling and shipping of infectious biological materials. |
Technical Skills | Experience in sample processing, laboratory assays, and viability testing. |
Interpersonal Skills | Strong teamwork, communication, and collaboration abilities. |
Project Management | Ability to work in cross-disciplinary, multicultural teams and manage multiple tasks. |
Adaptability | Comfortable with changing priorities and deadlines. |
Independence | Capable of working with minimal supervision. |
Terms of Appointment:
- This position is classified as HG 12 and is only open to Kenyan nationals.
- The role is offered as a three-year contract, renewable based on performance and funding availability.
