Job Title: Senior Manager, Undergraduate Programs

Reporting To: Director, Undergraduate Programs

Job Purpose

The Senior Manager, Undergraduate Programs, will be responsible for providing leadership and management support to the School Dean, faculty members, and students. The role demands oversight of academic programs, efficient coordination of administrative functions, and fostering a dynamic academic environment that is aligned with the University’s vision and strategic plan.


Main Duties and Responsibilities

1. Academic Program Management

  • Interview prospective program applicants and approve admissions to ensure achievement of school admission targets.
  • Support the Academic Director in ensuring quality teaching by:
    • Allocating teaching loads to lecturers
    • Coordinating peer review processes
    • Organizing curriculum review meetings
    • Managing lecturer-student evaluation processes
  • Guarantee operational compliance with all university policies and regulations.
  • Oversee field-based activities relevant to academic programs, including work-based learning, service-based learning, and Maisha programs.
  • Handle minute-taking for key academic and administrative meetings.

2. Mentoring and Student Support

  • Offer academic advising services, including:
    • Approval of student applications for special examinations
    • Approval of academic leave and program transfers
  • Actively contribute to the University’s strategic pillar of offering a transformative student experience.
  • Plan and execute academic trips and exchange programs.
  • Monitor and follow up on student mentoring activities within the school.

3. Budget Management

  • Prepare and manage the annual school budget aligned with the school’s strategic work plan.
  • Collaborate with the procurement department to source and approve goods and services that meet the operational needs of the school.

4. Risk Management

  • Review the school’s risk register.
  • Report on risk mitigation measures in partnership with the internal audit team.

5. Strategy Implementation and Quality Assurance

  • Support the Dean in the preparation and implementation of the school’s strategic and quality improvement plans.
  • Act as the school’s quality representative in collaboration with the Quality Assurance Office to ensure compliance with quality standards.

6. Financial Responsibility

  • Approve training budgets for school staff to foster continuous professional development.

7. Operational Responsibility

  • Manage staff recruitment, performance appraisals, and feedback mechanisms.
  • Respond to client feedback from students and parents to ensure high levels of satisfaction.

Job Requirements

The successful candidate must demonstrate evidence of the following attributes and skills:

  • A Master’s degree in Education Management, Business Administration/Management, or a related field.
  • Minimum of 7–9 years of professional experience, including at least 4–6 years in a supervisory role.
  • Strong leadership and strategic thinking abilities.
  • High proficiency in administrative and operational management.
  • Excellent communication and interpersonal skills.
  • Strong financial and resource management skills.
  • Commitment to students’ welfare and safeguarding.
  • Crisis and risk management capabilities.
  • Strong stakeholder engagement skills.
