Established in 1946, CHAK has remained committed to ensuring equitable access to quality healthcare services, especially for underserved communities.

With over 500 member health facilities and community-based health programs countrywide, CHAK serves as a central platform for coordination, advocacy, capacity building, and resource mobilization in the healthcare sector.

Position: Executive Assistant to the General Secretary/CEO

Job Summary

The Executive Assistant to the General Secretary/CEO provides high-level administrative, executive, and strategic support to the Office of the General Secretary (GS). This role ensures seamless coordination of the Executive Office’s activities, manages strategic communications, facilitates internal and external stakeholder engagement, and supports organizational priorities.


Key Responsibilities

1. Executive Office Management

  • Perform day-to-day operational and administrative tasks to ensure the efficient operation of the GS/CEO’s Office.
  • Act as the primary liaison for both internal and external communications directed to or from the Office of the GS/CEO.
  • Manage and optimize the GS/CEO’s calendar by planning and scheduling meetings, events, and travel itineraries.
  • Prepare logistics and documentation for meetings, conferences, and engagements involving the GS/CEO.
  • Draft, proofread, and edit official documents including reports, speeches, letters, and presentations.
  • Safeguard confidential and sensitive documents, ensuring appropriate filing and access controls.
  • Take accurate minutes during Management Committees, Senior Leadership Team, and other meetings associated with the GS/CEO’s Office.
  • Prepare and manage the budget for the GS/CEO’s Office, tracking expenditure and resource utilization.

2. Strategic Support

  • Monitor the implementation of strategic work plans and priority projects coordinated through the GS/CEO’s Office.
  • Conduct background research and compile relevant data to aid in evidence-based decision-making.
  • Draft executive briefs and summaries to keep the GS/CEO informed on critical developments.
  • Serve as a liaison between the GS/CEO and senior leadership team or departmental heads, facilitating timely feedback and follow-up on outstanding issues.

3. Stakeholder Engagement

  • Support effective communication between the GS/CEO and external stakeholders including government partners, donors, member institutions, and international collaborators.
  • Represent the GS/CEO in meetings or forums where delegated, and provide follow-up reports and action plans based on outcomes from those engagements.

Desired Qualifications and Experience

  • Bachelor’s degree in Business Administration, Public Administration, Project Management, or a health-related field.
  • A Master’s degree in a relevant field is an added advantage.
  • Minimum of five (5) years of progressive experience in senior-level executive support, administration, or project management.
  • Previous experience in a faith-based, not-for-profit, or development environment is highly desirable.
  • Deep understanding of organizational communication, protocol, and strategic operations.

Skills and Competencies

  • Exceptional organizational and time management capabilities.
  • Strong verbal and written communication skills.
  • Proven ability to maintain confidentiality and act with discretion.
  • Professional demeanor with high emotional intelligence and interpersonal finesse.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and virtual collaboration platforms.
  • Ability to work under pressure, manage multiple priorities, and deliver results with minimal supervision.
