1. Accountant II – CSG 11 (10 Positions)

Position Summary:

Working under the supervision of more senior accountants, these officers ensure that expenditures are aligned with approved budgets and conform to the legal frameworks governing public financial management.

Duties and Responsibilities:

  • Assist in the preparation of comprehensive financial statements, including trial balances, profit and loss accounts, and final accounts.
  • Prepare regular expenditure reports and conduct monthly reconciliations of bank and ledger accounts.
  • Monitor budget allocations and ensure prudent use of financial resources in accordance with the Public Finance Management Act and other relevant regulations.
  • Maintain and update ledger books, petty cash books, and cashbooks.
  • Assist in the computation and remittance of statutory deductions such as Pay As You Earn (PAYE), National Hospital Insurance Fund (NHIF), and National Social Security Fund (NSSF).
  • Participate in compiling budget estimates and conducting periodic variance analyses to flag anomalies or irregular spending patterns.
  • Process payment vouchers, verify claims and invoices, and ensure all financial documentation complies with internal control protocols.
  • Coordinate with the procurement office to manage the financial aspects of purchasing, including commitments, disbursements, and reconciliations.
  • Collaborate with internal and external auditors by availing financial documents and explaining transactions during audit reviews.
  • Support in implementing corrective actions as recommended in audit reports and ensure compliance with updated accounting standards and policies.

Duties and Responsibilities:

  • Sort, register, and file official documents in an organized and retrievable manner for future use.
  • Maintain and update both manual and electronic filing systems, ensuring data integrity and security.
  • Receive, record, and dispatch official correspondence including letters, reports, internal memos, and external communications.
  • Enter data into designated systems and databases, ensuring high levels of accuracy and consistency.
  • Assist in the preparation of reports, forms, and other routine documentation for use by supervisors and senior officers.
  • Monitor office inventory, prepare requisitions for supplies, and support logistical arrangements for meetings and conferences.
  • Maintain records of incoming and outgoing goods, office stationery, and equipment.
