Position: Senior Accountant – KRCS Training Institute (KRCTI)

Job Summary

As the Senior Accountant, you will be responsible for the development and preparation of financial reports related to budgeting, expenses, receivables, payables, and overall financial strategy. You will ensure that resources are used effectively in alignment with the institution’s financial policies. Additionally, you will play a key role in long-term financial planning, risk mitigation, and strategic resource management.


Key Responsibilities

Budget Management

  • Lead the development of KRCTI’s annual institutional budget.
  • Collaborate with Heads of Departments to ensure comprehensive budget planning.
  • Monitor performance and provide monthly variance analysis and performance reports.
  • Offer advice on cost optimization strategies and opportunities for revenue enhancement.

Financial Reporting

  • Review and ensure timely preparation of monthly cash and bank reconciliations.
  • Maintain and reconcile the Fixed Assets Register with the General Ledger.
  • Prepare accurate and timely depreciation schedules every month.
  • Process and post payroll journal entries for part-time lecturers in a timely and accurate manner.
  • Maintain an orderly, well-structured Chart of Accounts.
  • Generate financial reports for both internal and external stakeholders including the Director and Head of Finance.
  • Ensure compliance with international accounting principles and KRCTI policies.

Cash Flow Management

  • Oversee daily cash flow monitoring to ensure liquidity is maintained.
  • Coordinate with departments to forecast cash needs and manage fund allocations accordingly.
  • Implement strategies to optimize cash flow, including reducing unnecessary expenditures.

Financial Analysis

  • Perform routine financial evaluations to guide strategic decisions.
  • Measure and report on the financial performance of academic programs and institutional initiatives.
  • Develop cost-benefit analyses to support operational changes and investments.

Income, Grants, and Funding Oversight

  • Manage accurate invoicing processes and ensure timely debt collection.
  • Develop and input program fee structures into the accounting system per trimester.
  • Calculate and post provisions for doubtful debts and recommend necessary write-offs.
  • Reconcile student and client debtor accounts in Microsoft Dynamics NAV.
  • Produce monthly aged debtors reports and monitor collection performance.
  • Liaise with academic departments to maintain accurate student status records.
  • Identify potential grants and external funding opportunities to support KRCTI programs.
  • Ensure timely reporting to donors and grant compliance.

Payables and Procurement Support

  • Review supplier invoices and payment vouchers for accuracy and authorization.
  • Ensure payments are processed only with complete documentation and proper approvals.
  • Perform creditor reconciliations and resolve discrepancies promptly.

Audit and Compliance

  • Support internal and external audits by providing necessary documentation and reports.
  • Address audit findings with actionable solutions.
  • Enforce internal controls to minimize financial risks and ensure regulatory compliance.

Policy Development

  • Develop and continuously improve financial procedures in line with industry best practices.
  • Train departmental staff on new and existing financial policies.
  • Ensure consistency and compliance in the application of financial protocols.

Team Leadership and Supervision

  • Provide leadership and day-to-day supervision to the Finance Officer and Assistant Accountants.
  • Facilitate capacity building through mentorship and skills development.
  • Delegate duties effectively while ensuring accountability and accuracy.

Collaboration and Institutional Support

  • Work closely with all departments to understand their financial needs.
  • Provide financial advice and guidance to department heads and program coordinators.
  • Foster a collaborative culture that encourages transparency and teamwork.

Supervisory Responsibilities

  • Directly supervises:
    • Finance Officer
    • Assistant Accountants

Skills and Competencies

  • Deep understanding of financial accounting systems and controls.
  • Strong grasp of International Financial Reporting Standards (IFRS) and Generally Accepted Accounting Principles (GAAP).
  • Excellent communication skills, with the ability to clearly explain complex financial concepts.
  • Problem-solving mindset with the ability to make consultative and data-driven decisions.
  • High proficiency in Microsoft Dynamics NAV, spreadsheets, and accounting software.
  • Ability to work independently, manage multiple tasks, and meet tight deadlines.
  • Upholds integrity, confidentiality, and professional judgment in all transactions.

Education and Experience

  • Bachelor’s Degree in Accounting or Finance.
  • CPA (K) or equivalent professional qualification.
  • Over 4 years of progressive experience in financial accounting within a training institution or business environment.
