Position: Procurement Officer – 1 Post (Based in Mombasa)

Are you a highly motivated and experienced procurement professional with a passion for efficiency, transparency, and compliance? ICRHK is seeking a Procurement Officer who will oversee all aspects of procurement, administration, and logistics management in line with the organization’s internal policies and donor regulations. This role is based in our Mombasa office and is essential in ensuring that our operations and projects run seamlessly.

Key Responsibilities

As a Procurement Officer, you will:

  • Coordinate and manage the procurement processes in accordance with ICRHK’s procurement policies and procedures as well as donor requirements.
  • Develop, implement, and monitor procurement plans and ensure timely and cost-effective acquisition of goods and services.
  • Maintain and update the supplier database; ensure that supplier evaluations are conducted periodically.
  • Oversee contract management, ensuring proper documentation, compliance, and renewal.
  • Ensure timely preparation and submission of procurement and asset management reports.
  • Coordinate all logistics activities, including transportation, warehousing, and inventory management.
  • Ensure accurate tracking and reporting of assets; conduct routine checks and facilitate asset disposal in compliance with policies.
  • Provide administrative support to project teams including logistics for meetings, trainings, and workshops.
  • Support internal and external audit processes with relevant documentation and procurement reports.
  • Work closely with program, finance, and other departments to identify procurement needs and ensure seamless collaboration.
  • Maintain the highest standards of integrity and confidentiality throughout procurement operations.

Required Experience and Skills

  • A minimum of five (5) years of relevant experience, preferably with an international NGO, in procurement, logistics, or administration roles.
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Excellent organizational, interpersonal, and communication skills.
  • Strong negotiation and contract management capabilities.
  • Ability to prioritize, multitask, and meet deadlines under pressure with minimal supervision.
  • Demonstrated resourcefulness, initiative, and a proactive approach to problem-solving.
  • High level of integrity, professionalism, and discretion in handling sensitive information.
  • Ability to assess situations and make sound decisions based on available information.

Preferred Qualifications

  • A Bachelor’s degree in Procurement and Supply Chain Management or a related field.
  • A Master’s degree in a related discipline is an added advantage.
  • Membership in a recognized professional body such as the Kenya Institute of Supplies Management (KISM) or Chartered Institute of Procurement & Supply (CIPS) in good standing.
  • Familiarity with procurement regulations of major donors including USAID is a distinct advantage.
