Inventory Analyst

Location: Nairobi, Kenya
Reports to: Procurement and Stores Manager

We are looking for a dedicated and detail-oriented Inventory Analyst to play a critical role in managing and optimizing the hospital’s inventory systems. This role ensures that our clinical teams have access to essential medical supplies, pharmaceuticals, and equipment at all times, supporting uninterrupted patient care and hospital operations.

Job Description:

As the Inventory Analyst, you will be responsible for:

  • Inventory Oversight: Monitor, analyze, and manage inventory levels for medical, catering, and general hospital supplies to support operational efficiency.
  • System Management: Maintain accurate and up-to-date records of stock levels, reorder points, and usage trends through inventory management systems such as ERP.
  • Store Coordination: Supervise the store personnel to ensure efficient handling of goods received, stored, and dispatched according to hospital procedures and ethical standards.
  • Demand Forecasting: Collaborate with clinical departments to forecast supply needs, ensuring that the hospital maintains optimal inventory levels.
  • Discrepancy Management: Identify and resolve issues such as stock discrepancies, stockouts, overstocking, and expiries.
  • Policy Implementation: Assist in formulating and implementing inventory control policies and best practices aimed at reducing waste and loss.
  • Reporting: Prepare and share regular inventory reports with hospital Management and Clinical teams for informed decision-making.
  • Physical Audits: Conduct periodic physical inventory counts and reconcile the results with system records to ensure data accuracy.
  • Stakeholder Collaboration: Work closely with the purchasing team, suppliers, and user departments to ensure timely procurement and stock replenishment.
  • Audit Compliance: Participate in internal and external audits and ensure full compliance with hospital policies and regulatory guidelines.
  • Technology Integration: Support the implementation of automation tools, barcoding, RFID, or similar technologies for advanced inventory tracking.
  • Customer and Supplier Relations: Address and resolve concerns/complaints promptly to ensure high levels of satisfaction and trust.
  • Daily Operations Planning: Establish clear quality objectives, plan daily tasks, assign responsibilities to Inventory Section staff, and monitor performance.
  • Loss Prevention: Implement and maintain controls to prevent theft and pilferage of inventory items.
  • Cost Efficiency: Promote a culture of financial prudence, focusing on long-term cost savings in stock acquisition and warehousing.

Minimum Requirements:

  • Bachelor’s degree in Supply Chain Management, Procurement, Statistics, or a related field.
  • Minimum of five (5) years of progressive experience in inventory or supply chain management, including at least 2–3 years in a hospital or healthcare setting.
  • Proficiency in inventory management systems and Microsoft Excel.
  • Demonstrated analytical and problem-solving capabilities.
  • Familiarity with medical and pharmaceutical products (an added advantage).
  • Strong organizational skills and meticulous attention to detail.
  • Excellent communication and collaboration skills.
  • Ability to work under pressure and meet tight deadlines.
  • High standards of ethical and professional conduct.
  • Financial understanding for budget analysis, planning, and cost control initiatives.
