Job Purpose
The General Ledger Accountant plays a critical role in ensuring the accuracy and integrity of the financial information within the hospital’s general ledger system. This role is responsible for journal entry preparation, general ledger reviews, inventory oversight, and bank reconciliations. The individual will be instrumental in supporting management reporting, budgeting, audits, and providing essential financial analysis to aid strategic decision-making.
Duties and Responsibilities
The General Ledger Accountant will be responsible for the following key duties:
1. Preparation of Journal Entries:
- Accurately prepare and post journal entries into the accounting system.
- Ensure that all financial transactions are documented in line with internal policies and accounting standards.
- Verify that entries reflect true and fair financial positions.
2. General Ledger Management:
- Ensure all general ledger entries are recorded on a timely basis.
- Conduct continuous reviews of the general ledger for completeness and accuracy.
- Investigate and resolve discrepancies by liaising with other departments or external parties.
3. Financial Integrity and Reconciliation:
- Perform regular reconciliation of key ledger accounts including prepayments, accruals, receivables, and payables.
- Support integrity of financial reporting through adherence to internal controls.
- Maintain schedules of all balance sheet accounts and provide updates on outstanding items.
4. Inventory Management:
- Manage the hospital’s inventory system and ensure accurate stock records.
- Plan and coordinate regular stock takes and surprise inventory checks.
- Conduct reconciliations between physical stock and system records.
- Prepare monthly inventory reports highlighting variances, stock ageing, and recommendations.
5. Bank and Cash Reconciliations:
- Carry out monthly reconciliations of all hospital bank accounts and petty cash systems.
- Identify and investigate unusual or suspicious transactions.
- Liaise with banks to resolve any discrepancies and ensure bank statements align with internal records.
6. Financial Reporting and Analysis:
- Assist in preparing internal management accounts, financial statements, and periodic performance reports.
- Provide detailed variance analysis against budget and prior periods.
- Contribute to financial forecasting and cost analysis initiatives.
7. Budget Preparation and Ad Hoc Analysis:
- Support the budgeting process by compiling data and assisting in budget planning.
- Perform financial modelling and scenario analysis for various projects or operational decisions.
- Engage in special assignments that may arise from time to time, including feasibility studies and departmental spending reviews.
8. Audit Support:
- Assist the Management Accountant in preparations for both internal and external audits.
- Compile audit schedules and provide necessary documentation as requested by auditors.
- Support implementation of audit recommendations and improvements to accounting practices.
Qualifications
Education:
- Bachelor of Commerce (Accounting or Finance), Business Administration, or a related degree with a major in Accounting.
- Strong academic background in accounting principles and financial management.
Professional Qualification:
- Holder of a recognized professional accounting certification such as Certified Public Accountant (CPA) – K, Association of Chartered Certified Accountants (ACCA), or Chartered Financial Analyst (CFA).
Job Experience:
- Minimum of five (5) years progressive working experience in accounting roles, with at least two years in general ledger and reconciliation functions.
- Experience in a hospital or healthcare setting will be an added advantage.
