Job Purpose

The Administrative and Transport Assistant will support the day-to-day administrative operations of the university, including coordination of transportation services, logistical planning, and clerical support. This role will ensure smooth internal and external transportation processes and provide vital administrative support to various departments, enhancing organizational effectiveness and efficiency.


Key Responsibilities

Transport Coordination and Support

  • Plan, schedule, and manage the deployment of university vehicles in consultation with the administrative office.
  • Monitor and track vehicle movement using approved transport logs and GPS systems where applicable.
  • Facilitate timely dispatch and return of university vehicles, ensuring strict adherence to trip schedules and institutional travel policies.
  • Coordinate fuel usage, vehicle servicing schedules, and repairs in collaboration with the transport service providers and university mechanics.
  • Maintain updated transport records including trip logs, maintenance reports, and inspection checklists.
  • Ensure all university vehicles are roadworthy, licensed, insured, and meet relevant statutory requirements.

Administrative and Office Support

  • Provide clerical and logistical support in organizing meetings, workshops, and university events, including transport and venue logistics.
  • Support the procurement process by submitting transport and administrative requisitions, receiving goods, and confirming deliveries.
  • Handle filing and retrieval of transport and administrative documents in both physical and digital formats.
  • Assist in managing office supplies, distribution of memos, and coordination of internal communications related to transport and administration.
  • Ensure reception and timely dissemination of correspondences from the administration office.
  • Prepare periodic reports on transport operations and other assigned tasks.

Client and Stakeholder Service

  • Act as a liaison between the university departments and drivers to ensure clear communication and efficient trip planning.
  • Provide quality service to internal and external clients, ensuring their needs are addressed courteously and professionally.
  • Collaborate with security personnel to maintain safe transport practices for staff, students, and guests.
  • Assist visitors, university partners, and staff with transport arrangements where applicable.

Compliance and Risk Management

  • Ensure compliance with all transport and safety policies as outlined in university guidelines and national transport regulations.
  • Report any transport incidents or policy violations to the Administrative Officer immediately.
  • Work closely with the university’s safety and compliance office to conduct transport audits and risk assessments.
  • Participate in departmental reviews, internal audits, and external compliance inspections as required.

  • Knowledge of vehicle mechanics, licensing, and transport regulatory frameworks in Kenya.

  • High level of integrity, confidentiality, and accountability.
  • Demonstrated ability to work well under pressure and meet tight deadlines.
  • Knowledge of occupational safety standards and risk management practices in a transport context.

Work Environment and Reporting

This position is based primarily at Zetech University’s Ruiru Campus with frequent coordination with the Technology Park in Mang’u. The role requires flexibility in work hours, especially in facilitating early morning or late evening transport schedules and event logistics. Occasional field assignments within and outside Nairobi may also be required.

The Administrative and Transport Assistant will work under the direct supervision of the Administrative Officer and in close liaison with the Transport Supervisor, Procurement Office, and departmental administrators.
