The Role: Regional Store Coordinator – Rift Valley

The Regional Store Coordinator will be responsible for overseeing inventory and supply chain management at retail centers within the Rift Valley region, including supporting field-based sales agents. The position entails significant regional travel and direct involvement in operational efficiency, compliance, and innovation in retail center management. The successful candidate will play a pivotal role in ensuring the timely availability of inventory, optimizing processes, and facilitating effective stakeholder engagement to enhance performance at the grassroots level.
Key Responsibilities
1. Retail Center Operations Support
- Work closely with the warehouse team to ensure inventory availability for retail sales.
- Provide day-to-day support to retail executives to help them meet sales and service KPIs.
- Coordinate with the sales team to review performance and identify improvement areas for retail center executives.
- Process inventory declarations and signoffs for missing items and initiate reports for inventory losses or damages to facilitate insurance claims.
- Propose and initiate new efficiency-enhancing initiatives for the management and operation of retail centers.
- Conduct both scheduled and surprise inventory audits at retail centers to ensure accuracy and compliance.
- Review and optimize current inventory management processes to eliminate inefficiencies.
- Represent the Operations Department at meetings involving inventory and retail management with internal or external stakeholders.
- Manage handovers between retail center executives and temporary relievers, ensuring proper documentation and oversight.
- Vet and assess temporary relievers to ensure they meet the necessary standards to manage retail operations.
- Request and process payments for temporary relievers based on the number of days worked.
- Participate in recruitment interviews alongside Human Resources for new retail executives.
- Collaborate with Sales and Marketing teams to scout and recommend potential new retail center locations.
- Ensure that all assets in the retail centers are operational and coordinate maintenance with the Administration team.
- Liaise with landlords and address tenancy-related matters in conjunction with the Admin team.
2. Order and Inventory Management
- Initiate and track inventory transfers from central warehouses to various retail centers.
- Resolve inconsistencies in deliveries and ensure proper record-keeping and reporting.
- Collaborate with retail center executives to enforce best inventory practices including FIFO (First-In-First-Out) procedures.
- Provide appropriate packaging for defaced or damaged inventory in coordination with the warehouse team.
- Continuously review existing inventory procedures and suggest improvements for greater efficiency.
- Stay updated on emerging trends in supply chain management to adopt modern best practices.
- Lead inventory reconciliation processes and validate returned, obsolete, or damaged goods.
- Conduct periodic inventory verification with field agents to confirm stock levels.
3. Compliance Oversight
- Enforce basic maintenance protocols at retail centers and ensure all locations meet safety and health regulations.
- Guarantee all necessary licenses and permits are available and properly displayed at each retail location.
4. Innovation and Process Improvement
- Constantly seek and recommend new technologies and supply chain practices to improve operational efficiency.
- Advise management on new process designs or redesigns to improve support for retail center operations.
Candidate Profile
To be successful in this role, you should possess the following qualifications and attributes:
- A degree in Supply Chain Management, Finance, Statistics, or a related field.
- 2 to 3 years of hands-on experience in Supply Chain Management, Finance, or Statistical roles.
- Proficiency in contract management and handling large datasets in Excel.
- Working knowledge of ERP systems, with preference for SAP.
- Ability to multitask and manage competing priorities effectively.
- A results-oriented, self-motivated team player.
- Competence in Microsoft Office Suite, particularly Excel, PowerPoint, Word, and Outlook.
- Excellent verbal and written communication skills.
- Capacity to work remotely with minimal supervision.
