Job Objective

The ICT Assistant will be responsible for providing first-line technical support and assistance in the installation, maintenance, and troubleshooting of ICT systems, hardware, and software at KCA University. The role involves working closely with ICT trainers, academic staff, and administrative departments to ensure users receive timely and effective support, especially within classrooms, computer laboratories, and other learning and administrative environments.

The ICT Assistant will also be responsible for managing computer and software inventory, participating in ICT-related procurement processes, and contributing to the smooth functioning of university-wide ICT services.


Duties and Responsibilities

The successful candidate will carry out a range of responsibilities that support the efficient and secure operation of the University’s ICT systems. These include but are not limited to:

1. Troubleshooting and Repairs

  • Identify and analyze problems related to computer elements including desktop computers, laptops, network components, and other peripheral devices.
  • Repair hardware malfunctions and coordinate with vendors or external technicians when required.
  • Offer timely responses to technical challenges raised by end users across the university.

2. ICT Equipment Procurement

  • Initiate procurement processes for ICT equipment by providing detailed technical specifications for various university departments.
  • Liaise with internal departments to understand ICT needs and recommend suitable technology solutions.

3. Reporting and Documentation

  • Prepare and submit reports on the condition and performance of ICT infrastructure to the Director, ICT for informed decision-making.
  • Keep records of repairs, equipment issues, and user feedback to support continuous improvement of ICT services.

4. Maintenance and System Management

  • Conduct preventive maintenance on all computing systems including hardware, software, and data communication networks.
  • Ensure the optimal performance of ICT systems through timely updates and technical checks.

5. Software and Hardware Compatibility

  • Resolve compatibility issues between hardware components and software applications.
  • Identify failing systems and software, and recommend or implement suitable solutions.

6. Software Setup for Learning Environments

  • Obtain, configure, and install necessary software in ICT training labs to facilitate learning and instruction.
  • Support ICT Trainers and Computer Technologists in delivering quality training sessions and lab demonstrations.

7. Enterprise Resource Planning (ERP) Installation

  • Install and configure the university’s ERP system on authorized computers to support academic and administrative functions.
  • Ensure correct user access rights and smooth system functionality.

8. ICT Equipment Distribution

  • Distribute ICT resources and equipment across various departments and campuses in a fair and efficient manner.
  • Work closely with department heads to determine needs and ensure equitable allocation of resources.

9. Inventory Management

  • Update and manage the ICT equipment database, keeping track of hardware and software allocations and usage.
  • Monitor for losses, damages, and outdated systems, and recommend replacements or upgrades.

10. User Support and Work Ticket Management

  • Monitor, manage, and track user-generated work tickets, ensuring quick resolution of ICT-related issues.
  • Prioritize support requests and follow up to confirm problem resolution.

11. Antivirus and Security Management

  • Install, configure, and maintain antivirus software on all university computers.
  • Monitor and manage the antivirus server to protect university ICT infrastructure against malware and security threats.
  • Proactively identify vulnerabilities and provide solutions to secure university data and systems.

12. General Responsibilities

  • Participate in various university ICT projects and support initiatives as required.
  • Carry out any other duties and responsibilities as may be assigned by the supervisor or university management.

Qualifications and Experience

Applicants must meet the following minimum qualifications:

  • Bachelor’s degree in Information and Communication Technology (ICT) or a related field from an accredited institution.
  • At least one (1) year of professional experience in the ICT field.
  • A minimum of six (6) months of experience working in an institution of higher learning or a large commercial enterprise.
  • Demonstrated experience in the setup, management, and administration of various examination systems is considered an added advantage.

Work Environment and Reporting Structure

The ICT Assistant will work under the supervision of the Director, ICT and be stationed at the main campus in Nairobi, with occasional travel to other campuses when required. The role involves both fieldwork (in classrooms, labs, and offices) and desk-based tasks (inventory updates, ticket tracking, reporting).

The working environment is dynamic and collaborative, requiring constant interaction with academic staff, administrative teams, students, and ICT vendors.
