Job Description: Front Office Trainee

Reporting Structure

The Front Office Trainee will report directly to the Training Manager and will also be under the supervision of the Departmental Trainer.

Key Responsibilities

The trainee will be exposed to a variety of front office operations and responsibilities. Training will focus on acquiring essential skills for guest management and ensuring a seamless guest experience at all stages of their stay. Specifically, the trainee will learn how to:

  1. Guest Check-In and Check-Out
    • Welcome and check in arriving guests with warmth and professionalism according to the Kempinski Experience Assessment (KEA) standards.
    • Manage the check-out process efficiently, ensuring departing guests leave with a positive experience.
  2. Guest Registration and Room Assignment
    • Register guests and assign rooms while accommodating special requests whenever possible.
    • Assist in completing registration cards when required and employ suggestive selling techniques to promote hotel services.
  3. Payment Verification and Credit Procedures
    • Verify guests’ method of payment.
    • Follow established credit-checking procedures or refer cash payments to cashiers for handling.
  4. Billing and Invoicing
    • Process check-out procedures, inquire about last-minute charges, receive payments, and settle guest accounts.
    • Issue invoices and provide guests with copies for their records.
  5. Cashiering and Currency Handling
    • Learn front office cashiering processes including posting charges, managing payments, and exchanging foreign currency.
    • Balance cash floats at the end of each shift to ensure accuracy and accountability.
  6. Guest Services and Communication
    • Respond promptly and politely to all guest inquiries, whether in person or by phone.
    • Provide information, handle messages, or escalate issues and complaints to the appropriate staff members.
    • Assist guests with safe deposit boxes and ensure a smooth flow of communication.
  7. Room Coordination
    • Coordinate with housekeeping regarding room statuses including early check-ins, late check-outs, and special requests.
    • Ensure that guest room requirements are accurately communicated and fulfilled.
  8. Hotel Knowledge and Updates
    • Stay updated with hotel products, services, and daily activities.
    • Remain informed about ongoing meetings, events, and operational updates that could affect guest interactions.
  9. Reservations Procedures
    • Acquire a working knowledge of room reservation systems and policies.
    • Handle inquiries regarding reservations professionally.
  10. Work Area Maintenance
    • Maintain cleanliness and orderliness at the front desk to reflect the professional image of the hotel.

Skills, Knowledge, and Expertise

  • Education: Degree or Diploma in Hospitality/Hotel Management from a recognized institution.
  • Work Experience: None required – this program is specifically for individuals with less than one year of experience since completing studies (2024/2025 graduates).

  • Academic Status: Completion of coursework is sufficient; graduation is not mandatory.
