The Senior Administration Officer will report directly to the Principal Administration Officer and will be responsible for coordinating and overseeing administrative operations across the institution. This role is vital to ensuring efficient, transparent, and compliant implementation of administrative policies, procedures, and programs. The officer will play a central role in organizing administrative systems, supervising operational units, and providing leadership in institutional support functions.

Duties and Responsibilities
The Senior Administration Officer will be responsible for a wide range of administrative functions that ensure effective coordination and operational support to all departments. The key duties include:

  • Coordinating the implementation of policies, guidelines, and procedures related to administrative services and general office management.
  • Supervising and monitoring administrative operations including transport management, office services, records management, furniture and equipment standardization, and logistics.
  • Providing administrative guidance and oversight to ensure compliance with established rules, regulations, and government policies.
  • Overseeing the management and maintenance of the organization’s physical assets, ensuring proper inventory management, and accountability of institutional resources.
  • Ensuring the institution’s administrative systems and processes are efficient, transparent, and aligned with organizational goals.

Qualifications and Experience
For appointment to this position, a candidate must have:

i. Served as an Administration Officer I or equivalent position for a minimum period of three (3) years in the Public Service or in a reputable private sector organization;
ii. A Bachelor’s degree in a relevant Social Science such as Public Administration, Business Administration, Management, Sociology, Political Science, or an equivalent qualification from a recognized university;
iii. Attended and successfully completed an administrative officers’ induction course; and
iv. Demonstrated merit and ability as reflected in work performance and results.

Overview
The Security Officer III will be responsible for providing security and protection services to the institution’s premises, assets, staff, and clients. The officer will be expected to ensure a secure and safe working environment through the implementation of preventive security measures, surveillance, and emergency response operations.

This position requires individuals with proven experience in disciplined or professional security environments, strong situational awareness, and an understanding of both physical and operational security principles.

Duties and Responsibilities
The Security Officer III will be responsible for:

  • Providing security to the institution’s premises, assets, installations, staff, and visitors.
  • Conducting routine and random security patrols, inspections, and surveillance within and around institutional facilities.
  • Monitoring and controlling access to the institution’s buildings, facilities, and restricted areas in compliance with established security procedures.
  • Conducting screening and verification of visitors, vehicles, and goods entering the premises to prevent unauthorized access or prohibited items.
  • Carrying out random security surveys and assessments to identify potential risks and propose mitigation measures.
  • Managing control room operations, including monitoring of CCTV systems, alarms, and communication networks.
  • Conducting investigations on reported security breaches, thefts, accidents, or irregularities and preparing detailed incident reports.
  • Preparing and submitting security briefs, reports, and logs for record-keeping and decision-making.
  • Responding promptly to emergencies, including fire, medical, or security incidents, and coordinating rescue or evacuation procedures as needed.
  • Ensuring the implementation of standard operating procedures for physical and personnel security across all institutional departments.
  • Liaising with law enforcement agencies and other security stakeholders on matters relating to safety, crime prevention, and investigations.
  • Maintaining high levels of alertness, discipline, and professionalism while on duty.
  • Providing security guidance to staff and supporting the enforcement of institutional policies related to safety and conduct.
  • Participating in risk and disaster management drills, training, and safety awareness programs.
  • Any other duties related to security and safety as may be assigned by supervisors.

Qualifications and Experience
For appointment to this grade, a candidate must have:

i. Served for a minimum period of five (5) years in a relevant position within the Government Disciplined Forces (e.g., Police Service, Kenya Defence Forces, Prisons Service) or within a reputable security organization;
ii. A Diploma in any of the following fields: Criminology, Law, Security Management and Police Work, Police Science, Peace Building, Conflict Management, Risk and Disaster Management, or an equivalent qualification from a recognized institution;
iii. A Certificate in any of the following fields: Investigation, Intelligence, Security, or an equivalent qualification lasting not less than three (3) months from a recognized institution; and
iv. A Certificate in Computer Applications from a recognized institution.

Additional Advantage

  • Proficiency and possession of a valid driving license will be an added advantage.
