The successful candidate will report to the Coordinator, Treasury Section within the Financial Control department of the Finance Division at Aga Khan University Hospital, Nairobi. Job Purpose

The role exists to maintain the treasury accounting function for Aga Khan University Hospital, Nairobi. The primary objective is to ensure the efficient use of available cash flow while maintaining accurate and up-to-date bank reconciliations and managing financial investments. Additionally, the position supports the Finance Manager in preparation for internal and external audits by providing required documentation, maintaining proper records, and ensuring adherence to audit standards and policies.

The role is essential for maintaining smooth treasury operations, ensuring compliance with organizational controls, and supporting financial planning and reporting functions across the institution. Through consistent monitoring of bank activity, timely posting of transactions, and coordination with various departments, the position contributes directly to the financial stability and operational effectiveness of the hospital.


Key Responsibilities

The responsibilities assigned to this role encompass several core areas of treasury operations, including bank reconciliations, recording of cash and direct transfers, audit preparation and support, payment processing, investment-related tasks, and other assigned duties within the treasury function.

Bank Reconciliations

The position requires the accurate and timely preparation of bank reconciliations to be submitted for review in accordance with established Key Performance Indicators. Maintaining accuracy in reconciliations is essential to ensuring that all financial transactions are properly recorded and reflected in the institution’s systems.

The role also demands diligent follow-up on all reconciling items, with the expectation that these be fully resolved before the subsequent month. This responsibility ensures the integrity of financial records and minimizes the risk of carrying forward unresolved discrepancies that may affect financial reporting or compliance.

Recording of Cash and Direct Transfers

A significant portion of the role involves the daily management of direct banking activities. The responsibilities include downloading daily direct banking receipts, which refer to incoming payments received through bank transfers, and sharing these with the Accounts Receivables (Debtors) department for their action.

The role also requires accurate recording and reconciliation of direct payment transactions within the Meditech (MT) system. This includes preparing reconciliations for miscellaneous transactions that remain unrecorded in the General Ledger control accounts. Regular reconciliations of direct banking control accounts must be performed to ensure accuracy and to identify any discrepancies that may arise.

When variances occur, the position holder is expected to investigate and resolve them in a timely manner, coordinating with relevant departments or external institutions when required. This collaborative effort ensures that all financial transactions are properly accounted for and that unresolved items are addressed proactively.

Additionally, the individual must follow up with debtors on any unreceipted direct payments identified in the daily banking reports. Unreceipted items that remain unresolved for more than one week must be escalated to the Treasury Coordinator and Finance Manager according to the escalation matrix.

Regular reporting is also required. The individual must prepare summaries of reconciliation outcomes for management review. Another important responsibility is ensuring the Meditech facility-wide report is fully accounted for on a weekly basis.

Close coordination with Accounts Receivable is necessary for planning cash collections and supporting cash flow planning activities across the finance function.

Audits

As part of audit preparation, the individual must ensure that all audit schedules required for annual audits are prepared in an accurate and timely manner. During audits, the role includes retrieving files requested by auditors and responding to audit queries as needed. This support helps facilitate smooth and efficient audit engagements while ensuring that the institution remains compliant with all audit requirements and standards.

Payment Processing

The role includes processing and initiating various forms of payments such as cheque writing, wire transfers, and other financial transactions. Accuracy in verifying payment documentation is essential to ensuring compliance with internal policies and procedural controls. All payments must be processed in accordance with the organization’s payment approval matrix.

The position may also involve assisting the treasury accountant in the preparation of Letters of Credit (LC) documents. Additionally, the individual is responsible for negotiating spot deals where necessary. These actions contribute to effective financial management and the maintenance of cost-efficient banking arrangements.

Other Duties

The role carries additional treasury responsibilities including managing fixed deposits. The individual must facilitate the renewal or liquidation of matured Fixed Deposit Receipts (FDR) and accurately post interest provisions associated with these deposits.

Daily updates of currency files in the PeopleSoft Financials system are required to ensure that foreign exchange information remains current and consistent with treasury activities.

The role also includes participating in end-month General Ledger closing activities. The individual will assist the Finance Manager by ensuring that all journal vouchers and transactions linked to treasury operations are accurately recorded before month-end closing. This contribution is essential to maintaining the accuracy of monthly financial reporting.


Qualifications and Skills Requirements

The position requires the following:

• Bachelor’s degree in accounting or finance
• Professional training ACCA or CPA II
• More than 3 years of professional experience
• Excellent computer accounting skills
