Biovision Africa Trust (BvAT) is a not-for-profit organization established in Kenya in 2009 by the Biovision Foundation for ecological development in Switzerland and supported by the International Centre of Insect Physiology and Ecology icipe in Nairobi. The Trust’s goal is to alleviate poverty and improve the livelihoods of smallholder farmers in Kenya and other African countries through supporting dissemination of information and knowledge on appropriate technologies to improve human, animal, plant, and environmental health.
To achieve this, BvAT has three broad programmes through which the mission is unfolded:
- The Farmer Communication Programme (FCP).
- The Ecological Organic Agriculture Initiative (EOA-I).
- The Knowledge Centre for Organic Agriculture (KCOA).
- ABOUT THE ASSIGNMENT
Biovision Africa Trust is seeking a qualified firm or persons to facilitate a one-day team building event focusing on team bonding, fun, outdoor activities, and communication strategies across its projects/programmes.
- LOCATION
The team building will be based in Mombasa County. The Retreat venue will be communicated.
- OBJECTIVE OF THE ASSIGNMENT
The facilitator will design and run engaging outdoor retreat sessions utilizing a creative, dynamic and entertaining approach to encourage self-reflection, openness and communication between staff.
The teambuilding objectives are to:
- Strengthen the team’s spirit among colleagues through innovation, effective internal communication, teambuilding and maintaining a conducive working environment (stress management, ethics in the workplace and trust-building).
- Align team building activities with core values of BvAT’s 4-year Strategic Plan (environmental stewardship, accountability and transparency, efficiency and effectiveness, integrity, and gender inclusivity).
- EXPECTED OUTCOMES
By the end of the retreat, BvAT expects:
- A cohesive team that understands individual roles and their links to the overall BvAT’s strategic goals and objectives and core values.
- Improved team spirit and communication between supervisors and their staff, both horizontally and vertically.
- Identifying the team’s strengths and capacity needs of members and providing appropriate recommendations.
- Meeting the expectations of all staff for the team building exercise.
- EXPECTED DELIVERABLES
The consultant is expected to deliver the following:
- Preparatory/planning of the team building retreat workshop
- Review assessment reports done by the HR department and unpackage key areas of support.
- Prepare an inception meeting report articulating the process of team building using the main areas identified for staff improvement.
- Develop a pre- and post-retreat survey that would reflect the overall satisfaction rate, comments, and suggestions of staff, with an analysis of the survey findings submitted to BvAT not later than one week after the retreat.
- A customized team building plan clearly articulating the objectives of each of the team building exercises in line with the pre-retreat survey.
- Interactive and flexible facilitation tools and material aids prepared prior to the event.
- Facilitation of the team building retreat event
- Interactive outdoor team building sessions in line with the identified capacity areas aimed at identifying deliberate harmonization of BvAT’s activities through effective teamwork, staff empowerment, staff performance and communication of its diverse teams.
- A brief report outlining the following
- Post-retreat survey results and analysis.
- The retreat events proceedings and key outcomes.
- Recommendations on corporate deliveries to promote communication and teamwork horizontally and vertically.
- Recommendations on the suggested institutional design/operational design that will ensure sustenance of the retreat objectives.
- DURATION AND MANAGEMENT
The consultancy will be for 1 day in the 3rd week of December 2025 (between 16th and 19th December) under the supervision of the Staff retreat planning committee.
- PARTICIPANTS
A total of 50 staff will attend. They comprise of main office staff based in Nairobi, Arusha, Kampala and field staff spread across Kenya in 12 counties.
- QUALIFICATIONS AND EXPERIENCE
- University degree preferably in Human Resource Management, Change Management, Psychology, and Counselling.
- Demonstrated knowledge and advanced skills and at least 3 years of previous experience of facilitating retreats for international organizations or large commercial companies.
- The consultants should provide a team of at least 2 experts complete with the CVs.
- Proven experience of organizational change management, organizational development, and team building.
- Applicant should have strong analytical and coaching skills, knowledge of people’s psychology, emotional intelligence, strategic communications.
- Excellent rapporteuring and analytical skills necessary for capturing the reviews and suggestions that will emerge from the interactive sessions during the exercise.
- Flexible nature and ability to adapt to changing directions/thinking that may occur during the teambuilding activities.
- Excellent interpersonal skills.
- Fluency in written and spoken English.

The estimated total cost for this assignment should cover professional fees, travels, equipment hire, and any other costs related to the assignment.
