Role Purpose
The Senior Human Resources Coordinator is responsible for delivering high-quality and effective human resource services to the Kenya Country Office. Working under the supervision of the Director of Human Resources, Administration, and IT, the role supports the full employee lifecycle, from recruitment and onboarding to payroll, benefits administration, staff welfare, learning and development, and employee relations.
In addition to supporting country-level operations, the Senior Human Resources Coordinator provides technical and operational HR support to Save the Children International global teams hosted in Kenya. The role contributes to building organizational capability, strengthening HR systems and processes, and ensuring compliance with statutory, organizational, and ethical standards. The position requires close collaboration with HR Officers, HR Assistants, interns, managers, and global stakeholders.
Scope of the Role
The Senior Human Resources Coordinator reports directly to the Director of Human Resources, Administration, and IT. The role provides direct supervision to two HR Assistants and an HR/Admin Intern and works in close collaboration with two HR Officers. The position operates within a dynamic environment that supports both national and international staff and requires a strong understanding of HR operations, systems, and compliance within a multi-country and multi-functional organization.
Key Areas of Accountability
Talent Acquisition and Onboarding
The Senior Human Resources Coordinator plays a central role in talent acquisition and onboarding processes across the Country Office. Working closely with the HR Officer, the role contributes to the development, regular review, and continuous improvement of the Country Office induction package. This includes ensuring that induction materials are shared with all new staff prior to their start date and are accessible to all staff through shared digital platforms.
The role is responsible for preparing induction schedules in collaboration with heads of functions and area managers and for coordinating the induction of new staff during their first week of employment. This includes ensuring that onboarding processes are completed, online training courses are assigned, and all onboarding documentation is properly filed in employee records. The Senior Human Resources Coordinator also compiles and maintains a mandatory training tracker and shares quarterly updates with the Director of Human Resources, Administration, and IT.
In support of workforce planning, the role assists the Director of Human Resources with HR staff planning activities. The Senior Human Resources Coordinator partners with hiring managers across business functions to understand recruitment needs and to ensure that recruitment campaigns and selection processes are well planned, transparent, and effective. This includes managing complex recruitment campaigns through the full recruitment lifecycle, from initial intake meetings to offer issuance and onboarding. The role may utilize platforms such as LinkedIn and CV databases to identify and attract suitable candidates.
Accountability for data protection compliance across all recruitment documentation is a key responsibility, ensuring that candidate information is handled securely and in accordance with organizational and legal requirements.
Human Resources and Records Management
The Senior Human Resources Coordinator contributes to the preparation of monthly HR reports and ensures that HR data required for payroll processing and senior management team reporting is accurate and submitted on time. The role works closely with HR Assistants to maintain an up-to-date, well-organized, and compliant filing system for personnel, medical, insurance, and recruitment records, ensuring ease of retrieval and reliable reporting.
In collaboration with the HR Officer, the role ensures that exit interviews are conducted for departing staff and that insights, recommendations, and key issues arising from these interviews are documented and escalated to the Director of Human Resources, Administration, and IT. The Senior Human Resources Coordinator also contributes to the development, review, and updating of HR policies, procedures, guidelines, and business processes to ensure efficiency, cost-effectiveness, and legal compliance.
The position is responsible for maintaining accurate and current staff lists and organizational charts for the Kenya Country Office. The role also facilitates staff training on HR policies, including the Code of Conduct, Anti-Sexual Harassment Policy, Diversity and Inclusion Policy, and other relevant policies, ensuring staff awareness and understanding of their employment obligations and rights. Support to the Director of Human Resources in developing HR plans and learning and development initiatives is also part of this accountability area.
Human Resources Information System Management
The Senior Human Resources Coordinator leads on data quality management within the HR Information System in collaboration with the HR Assistant. The role ensures that high standards of data accuracy, completeness, and timeliness are maintained across all HR systems. This includes ensuring that new staff are set up correctly, leavers are terminated appropriately, and changes to personal details, contracts, performance ratings, training records, and absence data are updated promptly.
The role works closely with the HR Assistant to support both national and international staff with system-related issues, including Oracle system challenges related to D2P, and escalates technical issues to system support teams when necessary. The Senior Human Resources Coordinator manages and updates national and international staff data in Oracle and liaises with the HR team to ensure personal data is securely filed and managed.
Maintaining confidentiality and data security across all HR records, whether manual or electronic, is a core responsibility. The role ensures that access to sensitive information is controlled and that records are stored in compliance with data protection standards.
Contracts and Benefits Administration
The Senior Human Resources Coordinator is responsible for preparing employment contracts for newly appointed staff and for maintaining an effective contract tracking system. This includes working with line managers to ensure probation reviews are completed on time and that staff receive confirmation letters or other appropriate communications before probation periods lapse.
In collaboration with the HR Officer, the role tracks contracts related to medical insurance and other staff benefits and ensures that renewals and expiries are monitored and communicated in a timely manner. The position facilitates the administration of staff medical insurance, WIBA, and pension schemes, ensuring that eligibility lists are current and accurate.
The role works closely with the Finance Department to ensure value-for-money services from benefits providers. This includes monitoring service provider reports, ensuring prompt issuance of credit notes where applicable, and escalating anomalies or concerns to the Director of Human Resources, Administration, and IT and the Finance team. The Senior Human Resources Coordinator also supports the Madagascar team with contract processing, signing, and disciplinary processes as required.
Compliance with statutory regulations is a key responsibility, including the submission of returns to relevant authorities such as NITA, FKE, the Kenya Employment Authority, and the Institute of Human Resource Management, in line with legal requirements.
Learning and Development
As the focal point for learning and development, the Senior Human Resources Coordinator partners with line managers to identify organizational training and development needs. This is achieved through gap analysis aligned to organizational strategy, job analysis, performance appraisals, and ongoing consultation with the Human Resources Department.
The role leads the development of an annual learning and development plan for the Country Office and coordinates the design and delivery of training programs in collaboration with cross-functional teams, guided by internal learning frameworks and “How to” guides. The Senior Human Resources Coordinator tracks and reports on the learning and development budget and works with HR colleagues and line managers to evaluate training outcomes and impact.
The role remains informed about developments in workplace learning by engaging with regional learning and development networks, reviewing relevant publications, and participating in professional meetings and courses. Promotion of e-learning within the Country Programme, including the registration of staff on relevant platforms, is also part of this responsibility. The role researches emerging learning technologies and methodologies and presents findings to support continuous improvement.
Human Resources Reporting
The Senior Human Resources Coordinator prepares monthly HR reports and metrics to support senior management decision-making. The role supports the Director of Human Resources, Administration, and IT in preparing quarterly HR reports for global reporting purposes and develops HR information system infographics to support data-driven decisions.
Payroll Management
The role works closely with the HR Officer and HR Assistants to ensure payroll instructions for both regular and incentive staff are prepared accurately and on time each month. Responsibilities include managing international staff payroll changes and recharge processes and sharing relevant information with the global HR team.
The Senior Human Resources Coordinator collaborates with the HR Officer and Finance team to ensure payroll processing is accurate, timely, and compliant. This includes ensuring payroll data is correctly updated in payroll systems and supporting resolution of discrepancies.
Support to Global Teams Based in the Country Office
The Senior Human Resources Coordinator provides business partnering support to global hub teams hosted in Kenya. This includes collaborating with global functional leaders to understand departmental goals, supporting compensation and benefits administration, and ensuring monthly payroll processing for global teams.
The role supports employee development initiatives, employee engagement activities, employee relations case management, wellness initiatives, performance management processes, and workforce planning activities for global teams. This support is provided in alignment with organizational policies and employment regulations.
Staff Leadership, Mentorship, and Development
The Senior Human Resources Coordinator ensures effective staffing and organizational design within the HR function. The role provides leadership to the HR team, setting expectations, offering technical guidance, evaluating performance, and supporting professional development. Qualifications and Experience
The position requires a degree in Human Resources Management or Social Sciences from a recognized university. The role requires extensive management experience in a corporate or non-governmental organization environment, including experience at a middle management level within an HR department. Registration with the Institute of Human Resource Management as an Associate member is required, and certification in Certified Human Resource Professional is desirable.
The role requires sound knowledge and hands-on experience in generalist HR functions, including employee benefits administration, HR metrics development, and compliance. Strong attention to detail, ability to work in diverse teams, training and facilitation skills, and proficiency in standard office software are required.
