The Office of the Registrar of Political Parties (ORPP) is an independent State Office established by the Political Parties Act, Cap. 7D (PPA). The mandate of the Office is to register, regulate political parties and administer the Political Parties Fund.

To achieve this mandate, ORPP is seeking to recruit highly competent, dynamic, and results-oriented individuals who will contribute to the implementation of its mission. The Office invites applications from suitably qualified serving officers in the public service for the following vacant position:

Position: Clerical Officer
Ref No: ORPP/5/2025
Grade: ORPP 8
Terms of Service: Pensionable
Department: Human Resource Management
Duty Station: Headquarters and Field Offices (Regional or County Offices)
Reporting To: Senior Officer in the Deployed Functional Area

Job Purpose

The Clerical Officer will be responsible for implementing effective systems within the deployed functional area. The successful candidate will support administrative operations by handling clerical tasks, maintaining records, and ensuring efficient office operations.

Duties and Responsibilities

  1. Perform clerical functions for the office, including photocopying, scanning, binding, and data entry.
  2. Maintain general cleanliness and security of files and equipment.
  3. Ensure proper organization of files in the registry.
  4. Maintain and update files and other records.
  5. Manage file movement and ensure proper documentation.
  6. Maintain an efficient filing system for ease of document retrieval.
  7. Circulate files to action officers and track the movement of files to ensure outstanding requirements are addressed within the required timelines.
  8. Draft simple correspondences as required.
  9. Coordinate file census to ensure all records are accounted for.
  10. Offer clerical support to line managers in the deployed functional area.

Person Specification

For appointment to this grade, a candidate must meet the following qualifications:

  1. Kenya Certificate of Secondary Education (KCSE) mean grade C Minus or an equivalent qualification from a recognized institution.
  2. Proficiency in computer applications.
  3. Must meet the requirements of Chapter Six of the Constitution, which includes integrity and good governance standards.

Additional Competencies and Skills

  • Good communication and interpersonal skills.
  • Ability to follow instructions and work under minimum supervision.
  • A high level of integrity and ability to handle confidential information.
  • Organizational and time management skills.
  • Basic knowledge of office etiquette and protocol.
