Job Purpose

The Accounts Assistant will be instrumental in ensuring the seamless execution of medical accounting operations at Britam. This includes fund management, reconciliation of general ledgers, provider payments, and medical collections. The role is designed to support financial accuracy and efficiency, thereby enabling Britam to uphold its commitment to timely and transparent healthcare provider relationships and client servicing.


Key Responsibilities

The role of the Accounts Assistant is multifaceted and includes the following critical duties across payments, reconciliation, fund management, and reporting.


1. Payments and Reconciliation

  • Prepare monthly payout targets for key medical providers and share them with the Medical Claims Team.
  • Generate remittance advice documents and communicate payment details to medical providers, ensuring alignment with invoice records.
  • Monitor regular payout performance to ensure monthly targets are met for major healthcare providers.
  • Reconcile payments with provider statements and address outstanding balances promptly to obtain clearance letters.
  • Maintain accurate records of Britam credit facilities with healthcare providers, ensuring adherence to service level agreements (SLAs).
  • Track and manage medical provider guarantees, ensuring timely renewal of expired ones and cancellation of inactive providers.
  • Negotiate with providers for efficiency-based discounts and annual volume incentives.
  • Support efforts to recover overpayments or payments exceeding normal billing standards.

2. Fund & Insured Schemes Management

  • Track fund utilization for funded healthcare schemes and initiate replenishment procedures when utilization reaches 75%.
  • Prepare and issue monthly statements on fund utilization and insured scheme updates upon request.
  • Direct cashiers on proper receipting and allocation of collections for medical services—this includes insured premiums, funded scheme payments, and card fees.
  • Conduct monthly reconciliations of funded scheme accounts and ensure agreement with ERP system records.
  • Generate insured premium statements, coordinate with sales and intermediaries for collection.
  • Manage reconciliation and recovery processes for claims paid outside insurance policies.
  • Process refunds of medical premiums to clients as required.
  • Compile and present monthly reports highlighting the status of provider reconciliations, discount application, sign-offs, and clearance completion.
  • Ensure all healthcare service providers comply with the Kenya Revenue Authority’s Electronic Tax Invoice Management System (ETIMS).

3. General Ledger Reconciliations

  • Perform monthly reconciliations of assigned general ledger accounts.
  • Post adjusting entries as necessary to maintain the accuracy and completeness of reported financial information.

Technical and Functional Expertise

While formal academic qualifications and certifications are essential, practical expertise and skills in the following areas are key for the success of this role:

  • Medical accounting and provider payment processes.
  • Fund monitoring and replenishment strategies.
  • Reconciliation of complex general ledger accounts.
  • ERP systems, particularly Oracle Financials.
  • Compliance with regulatory frameworks and internal controls.
  • Strong understanding of insurance products and services.
  • Analytical thinking with the ability to resolve complex reconciliation issues.
  • Experience in managing relationships with external medical providers.

Ideal Candidate Profile

To thrive in this role, the ideal candidate should demonstrate:

  • 2–3 years of experience in accounting roles, preferably in insurance or medical finance operations.
  • Strong knowledge of ERP systems and financial software tools.
  • Ability to work under pressure and meet strict deadlines.
  • Excellent communication and interpersonal skills for effective coordination with internal teams and external providers.
  • Detail orientation and problem-solving aptitude.
