Data Clerk – Early Warning Signs and Symptoms (EWSS) Project

Introduction

The University of Nairobi invites applications for the position of Data Clerk under the Early Warning Signs and Symptoms (EWSS) Project. This project aims to implement an adapted version of the Ghanaian EWSS initiative to provide an evidence-based and context-sensitive approach to childhood cancer care in Kenya. The focus will be on early detection through increased healthcare provider awareness and improved referral pathways.

To support this initiative, both qualitative and quantitative data will be collected prospectively and retrospectively throughout the study duration. The research findings will contribute to better childhood cancer awareness, refine referral processes, and guide policy decisions to improve cancer care systems for children in Kenya.

Position Details

  • Contract Duration: 2-Year Contract, with the possibility of extension.
  • Location: The position is based at the Department of Human Pathology, Faculty of Health Sciences, University of Nairobi.
  • Reporting To: The Principal Investigator (PI), EWSS Project.
  • Work Schedule: The Data Clerk will dedicate 20 hours per week to the EWSS Project and an additional 20 hours per week to related duties assigned by Kenyatta National Hospital (KNH). The selected candidate will be responsible for tracking and reporting their working hours.

Job Description

The Data Clerk will support the collection, processing, and management of data related to the EWSS Project. Key responsibilities include:

  1. Data Management:
    • Complete training on the REDCap database platform for data management.
    • Access patient files through the hospital medical records system.
    • Extract relevant retrospective data from patient records and transfer them onto dedicated case report forms.
    • Collect prospective data directly from patients’ carers where necessary and complete relevant case report forms.
    • Input data accurately into the REDCap database.
  2. Supervision & Compliance:
    • Attend monthly supervision sessions conducted by the Project Coordinator or Research Assistant.
    • Participate in periodic data collection web calls and project meetings as required.
    • Adhere to Kenyatta National Hospital (KNH) guidelines regarding data collection and work ethics.
    • Uphold ethical standards when dealing with patients, families, and hospital staff.
  3. Reporting & Communication:
    • Provide monthly reports on the number of forms completed and inputted into REDCap.
    • Maintain confidentiality of all collected and processed data.
    • Perform other related duties under the supervision of Dr. Irene Nzamu, Head of Pediatric Oncology, KNH.

Job Specifications

The ideal candidate should meet the following criteria:

  1. Education & Training:
    • A basic degree or advanced diploma from a recognized institution.
    • Applicants with an ordinary diploma must provide evidence of additional training in cancer registries or health-related fields.
  2. Technical Skills:
    • Strong computer literacy (Excel, MS Word) with proficiency in spreadsheets and online forms.
    • Experience in data entry and handling large datasets accurately.
  3. Soft Skills & Attributes:
    • Excellent verbal and written communication skills in English and Kiswahili.
    • Good interpersonal skills and ability to collaborate with medical staff and research teams.
    • Strong attention to detail and ability to work under minimal supervision.
    • Commitment to maintaining confidentiality and ethical handling of patient data.
