Job Objective

The intern will work closely with other team members to ensure that the admissions process runs smoothly, data is accurately captured and maintained, and all communications are handled in a professional and timely manner. Duties and Responsibilities
The key duties and responsibilities of the Admissions Intern will include the following:

  1. Administrative Support in the Marketing Department
    • Assist the Marketing Department in handling day-to-day administrative operations related to student admissions.
    • Maintain organized filing systems, documentation, and correspondence related to admissions activities.
    • Support the coordination and scheduling of meetings, events, and outreach activities related to student recruitment and admission campaigns.
    • Ensure that all documents and records within the Marketing Department are properly maintained and easily accessible when needed.
  2. Handling Inquiries
    • Respond to phone, walk-in, and email inquiries from prospective students, parents, guardians, and other stakeholders regarding the University’s admission process.
    • Provide accurate and up-to-date information about the University’s programs, entry requirements, tuition fees, and campus life.
    • Offer courteous and professional service to all visitors, ensuring that their questions and concerns are addressed promptly.
    • Work collaboratively with colleagues to ensure that all inquiries are followed up efficiently and feedback is provided in a timely manner.
  3. Data Entry and Record Keeping
    • Assist in entering applicant information into the admissions database while ensuring data accuracy and confidentiality.
    • Regularly update applicant records to reflect changes or progress in the admissions process.
    • Support the process of organizing and categorizing application documents to facilitate quick reference and retrieval.
    • Ensure that data entry tasks are performed in compliance with institutional policies and data protection standards.
  4. Maintaining the Accuracy of Applicant Information
    • Verify the completeness and accuracy of applications received before forwarding them for review or approval.
    • Assist in reconciling discrepancies in applicant information or missing documents.
    • Participate in periodic data validation exercises to ensure that records remain current and reliable.
  5. Document Preparation and Organisation
    • Support the preparation of documents related to admissions, including offer letters, admission forms, and other official correspondence.
    • Organize and file all relevant documents for easy tracking and reference during the admissions cycle.
    • Assist in the creation of admission-related reports and summaries for internal use by the Marketing and Admissions teams.
  6. Communication Support
    • Assist in preparing communications, notices, and informational materials for dissemination to prospective students and parents.
    • Work with the Marketing team to ensure that communications are aligned with the University’s brand and messaging guidelines.
    • Participate in promotional events and open days to support the dissemination of admissions information.
  7. Coordination and Team Collaboration
    • Collaborate with other staff members to ensure seamless execution of departmental activities.
    • Support coordination between the Marketing and Admissions teams to streamline workflow and improve efficiency.
    • Contribute to the continuous improvement of the admissions process by sharing feedback and suggesting improvements.

Required Qualifications and Experience
Applicants for the position of Admissions Intern should possess the following minimum qualifications and competencies:

  • A minimum of a Bachelor’s degree in Business Administration, Communication, or Marketing from a recognized university.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Strong communication and interpersonal skills with the ability to interact effectively with diverse audiences.
  • A hands-on, proactive approach to work with personal drive and the ability to respond to issues efficiently.
  • Good IT skills and attention to detail when handling data and documents.
  • Ability to work both independently and collaboratively as part of a team in a fast-paced environment.
